Overview
The Office Manager will play a vital role in enhancing office operations by providing administrative support to streamline workflow procedures. This position will collaborate with colleagues and executives, aiding in the planning and dissemination of information. While the specific tasks, duties, and responsibilities are outlined below, the Office Manager will serve as backup for other teams as well as undertake any additional related duties as needed and assigned. Their contribution will be essential to the overall efficiency of the company.
Tasks, Duties, and Responsibilities:
Support President (Executive Administration):
· Manage the President's calendar, including scheduling meetings, appointments, & travel arrangements.
· Prioritize and coordinate conflicting commitments and deadlines to optimize the President's time.
· Act as the primary point of contact between the President and internal/external stakeholders.
· Handle sensitive information and maintain the highest level of confidentiality and professionalism.
· Provide ad hoc support and assistance to the President on various tasks and projects as needed.
Support Director of Operations (Building Maintenance):
· Maintain ongoing preventative maintenance of building.
· Uphold good working relations with external vendors (electricians, plumbers, & general contractors).
· Preserve operational records and monitors / enforces observance of safety regulations for inspections.
Support Purchasing Team:
· Ongoing daily purchasing of electrical and mechanical components.
· Communicating and resolving issues with vendors.
· Weekly monitoring of Open Purchase Orders Report.
· Requesting quotes from vendors for cost comparison.
· Releasing Purchase Orders and maintaining blanket orders and inventory levels.
· Communicating cross parts and sample approval with engineering.
· Expediting orders to meet required dates.
· Coordinate returns and credits with purchasing vendors.
· Assist with international shipping quotes and coordinate exports with freight forwarder.
· Implement Engineering Change Orders (ECOs).
Support Customer Care Team:
· When the receptionist is not available, greet and welcome guests as they arrive at the office.
· Verify, enter, and monitor customer Sales Orders.
· Answer incoming calls and emails in an efficient manner.
· Provide updates to customers regarding potential and existing orders.
· Maintain accurate and up-to-date customer database.
· Address customer complaints in a suitable and patient manner.
· Redirect customers to appropriate departments as needed.
Qualifications
· Must have a bachelor’s degree.
· 3 years’ experience.
· Excellent attention to detail and time-management skills to handle multiple tasks and priorities.
· Interpersonal communication skills, both verbal and written.
· Must be proficient in Microsoft office and Excel.
· Strong time management skills with the ability to multi-task.
· Highly organized.
· Experience with an ERP system (SAGE 100) is a plus, but not required.
· Ability to work in a team as well as individually.
· Strong documentation and writing skills.
Job Type: Full-time
Pay: $52,000.00 - $55,000.00 per year
