The Salt Shed is Hiring a Hospitality coordinator Near Chicago, IL

POSITION SUMMARY :

The Hospitality Coordinator is responsible for coordination and management of the artist hospitality program at The Salt Shed, The Hospitality Coordinator will be responsible for directly advancing all hospitality needs of artist touring parties, as well as staffing additional DOS coverage for greenroom setup.

This position will directly report to the Production Manager (PM) and will interface with the Artist Experience Coordinator (AEC), Production Coordinators PC , Stage Manager (SM), and Hospitality Assistant HA .

This position will on occasion be responsible for coordinating more in-depth hospitality needs or coverage, sellout treats, overhire crew care, running additional errands / various office management duties and maintaining inventory of greenroom, office and general staff care supplies.

This position will liaise with 16 OC shared services staff for catering and any other additional hospitality needs. They will work closely with venue management on staff and artist care.

KEY RESPONSIBILITIES :

  • Ensuring a safe, healthy and friendly work environment is maintained to Salt Shed and industry standards.
  • Advancing and managing riders and associated hospitality correspondence for all events. This includes working closely with the Production team, Tour Managers, and event planners throughout the advance process.
  • The Hospitality Coordinator will be responsible for executing most day-of-show hospitality needs, as well as assigning and staffing dates they will not be present.

They will be responsible for all hospitality elements from advance thru show load-out and artist departure.

  • This includes hiring show runners & appropriate vehicles for the house and tour at the direction of the PM.
  • Developing standards and procedures for optimal green-room setup, ensuring all artists are met with a well-stocked, presentable, and clean dressing room upon arrival.
  • Maintaining somewhat standard daytime hours and assisting with mail and package receiving, artist arrival and greenroom access as needed.
  • Budget allocation in tandem with the appropriate Tour Manager. Assuring all band needs are being met to the best of our abilities and within the predetermined contracted budget.

Developing an action plan with the Production team for each event according to the artist’s needs.

  • Managing the hospitality schedule and ensuring every Salt Shed event is adequately staffed with the appropriately trained and approved personnel via 7Shifts & 7Punches.
  • Maintaining a clean and articulate budget and tracking spreadsheet for all financial transactions that occur on the hospitality front.

This includes keeping all pertinent receipts and reporting for band management, Salt Shed management and 16OC accounting teams via the P&L.

Overall responsibilities and the dynamics of the position will be fluid and subject to change.

QUALIFICATIONS / SKILLS :

  • Attention to detail & patience with a passion for hospitality
  • Strong advocate and ally for inclusion, respect, diversity and equity
  • A drive to bring fresh ideas to the table and always be striving for higher standards
  • Creative eye for design, hosting and entertaining
  • Ability to multitask and maintain personal time management around a strict production and tour timetable
  • Day and night availability, the ability to work an average of 35-40 HRS / week in all seasons.
  • Use of reliable, insured personal vehicle
  • 3 years of experience in venue, festival, hospitality, hosting and / or inventory management
  • Ability to maintain composure and total professionalism around touring personnel
  • Self-starter with the ideas and ability to create new systems and procedures
  • Expert use of Google Drive, Gmail, Google Calendar, 7Shifts, 7Punches and Prism.
  • Connected and able to juggle staying on top of quickly changing needs with poise

EDUCATION AND / OR EXPERIENCE :

  • Must be at least 21 years of age
  • Minimum of 3 years’ experience in event operations and / or hospitality

ESSENTIAL PHYSICAL FUNCTIONS

  • Must have the ability / stamina to work a minimum of 35 hours a week.
  • Ability to stand / walk for up to 5-6 hours per day.
  • Must be able to lift and carry up to 40 lbs.
  • Will frequently reach, feel, bend, stoop, carry, finely manipulate and key in data.
  • Must be able to work in both warm and cool environments, indoors and outdoors.
  • Must be able to tolerate higher levels of noise from music and customer traffic.
