TITLE: Lab Facilities Manager

REPORTING TO: Senior Scientist 

LOCATION: Center for Biomedical Research (CBR), New York, NY 

JOBS SUPERVISED: None

ASSIGNMENT LENGTH: Indefinite

POSITION SUMMARY:

The Lab Facilities Manager is responsible for the oversight and management of facilities and procurement for the Population Council’s labs located within Rockefeller University. They are also responsible for vendor relationship management, lab equipment maintenance, lab safety, inventory management document retention, and lab appearance. The Lab Facilities Manager will work closely with lab staff and support as needed.

Please note, this is a fully on-site position. 

RESPONSIBILITIES:

1. Manage and oversee all lab facilities, ensuring a comfortable and pleasant lab environment, including:

  • Creating and adapting lab initiatives in response to changing operational needs
  • Providing lab orientations to new staff
  • Liaising with Rockefeller University to promptly resolve issues with lab cleaning, maintenance, lab temperature, or other issues that may arise 
  • Collaborating with lab staff to ensure safe and effective use of facilities

2. Oversee lab procurement, including:

  • Advising teams on Procurement best practices and creating new policies and procedures as needed
  • Managing and building a collaborative network of vendors and maximizing discounts or other benefits for the Council 
  • Supervising the procurement of laboratory animals, restricted chemicals, and isotopes, by placing and monitoring requests with outside vendors and the Rockefeller University.
  • With assistance from lab staff, oversee the competitive bidding process, requisitioning, receiving, tagging and distribution of new lab supplies and equipment. 
  • Obtaining all necessary approvals from RU lab safety.
  • Managing a list of vendors accepting the Council’s worker’s compensation insurance.
  • Tracking received items in the Council’s ERP system 

3. Oversee all aspects of lab equipment maintenance, including: 

  • Managing preventative maintenance and equipment service contracts by requesting quotes on an annual basis and reviewing for completeness.
  • Leading preparations of annual budgets for service contracts and liaising with finance staff to track spending
  • Monitoring and arranging calibration services, glass washing, and autoclave services
  • Overseeing proper installation and setup of new equipment and arranging staff trainings, as needed

4. Ensure proper safety measures have been implemented regarding the CBR site as well as materials exiting or entering the site by:

  • Working closely with Laboratory Safety Officers to track licenses and trainings, expirations, and coordinate renewals,
  • Overseeing the CBR Emergency Preparedness Policy, Disaster Recovery Policy in conjunction with Rockefeller University, and Population Council departments located at the CBR site.
  • Ensuring compliance with the Rockefeller University Laboratory Safety and Environmental Health Dept., prior to the purchase of hazardous chemicals, biological materials, and isotopes.

5. Develop and manage detailed inventory for lab equipment and supplies:

  • Tagging equipment as received
  • Completing fixed asset documentation for equipment received
  • Inventorying for location, retention and destruction schedules.

QUALIFICATIONS:

We understand that there are many paths to acquiring expertise and experience and strong candidates may not have every qualification listed here. We encourage applications from individuals with diverse and/or nontraditional backgrounds who bring passion, skills, and experience in many or most of these areas.

1. Bachelor’s degree and minimum 8-10 years of relevant experience or Master’s degree and 6-8 years of experience in procurement, lab environment or appropriate combination of education and experience required. Experience in the Pharmaceutical industry a plus. 

2. Superior administrative and organizational skills; initiative, attention to detail and follow through, ability to prioritize.

3. Ability to work in a team as well as independently with minimal supervision. High comfort level with handling multiple tasks and meeting timelines.

4. Strong computer skills, including knowledge of Microsoft Word and Excel.

5. Strong writing ability with ability to document ideas, perform research, provide policy templates and circulate informational/instructional emails to a large audience.

6. Excellent communication and interpersonal skills. Demonstrated ability to work closely with colleagues from various departments and country offices.

SALARY AND BENEFITS: Salary range between $94,000-$129,000 annually, depending on knowledge, skills and experience. Excellent benefits package includes: 

  • Medical, dental, vision and life insurance available immediately upon hire; 
  • 403(b) retirement plan with employer contribution equal to 12% of annual salary (up to a maximum salary of $200,000) after one year of employment; 
  • 24 annual and 12 sick days per year (accrued semi-monthly) * 
  • Approximately 10 paid holidays; 
  • 13 weeks of paid parental leave; 
  • Educational assistance* 
  • College tuition support for dependents**
