Job DescriptIon: NIGHT FRONT OFFICE CLERK / RECEPTIONIST

Summary: The Night Clerk is a trusted, responsible person with multi-faceted duties, tasks, and responsibilities. The Night Clerk works both as part of a team and alone on overnight shifts to ensure that the property is supervised, secure and safe at all times, to ensure that guests and members receive excellent hospitality, and to ensure that a variety of clerical duties are completed.

Schedule: The Clerk's work schedule shall be determined in accordance with business demands. Typical shifts begin as early as 11:30 p.m. and may end as late as 8:00 a.m. Monday through Sunday.

Duties and Responsibilities:

1. The Night Clerk is a trustworthy, reliable person capable of working with minimal supervision and also as part of a small team that takes full responsibility for the overall clubhouse facility, life safety, and security when managers are not present. The Night Clerk is the ranking employee when management is not present.

2. The Night Clerk is responsible for the completion of clerical duties, including accounting night audit tasks, answering phones, assisting members/guest's requests, taking reservations for dining and bedroom, check-in and check-out procedures, and any other assigned tasks related to the operation of the front office. Must be competent utilizing software programs such as Microsoft Word, Excel, Access, Outlook, and Northstar (club management software).

3. The Night Clerk is also responsible (as part of a team) to sustain overall functions of the clubhouse such as: answering doors, assisting guests with luggage, monitoring special vendors that work overnight or arrive early, moving vehicles as necessary, accepting deliveries, resetting the Club after large events and giving breaks to others.

4. The Night Clerk knows our emergency procedures and assumes a leadership role in handling emergencies such as fire, medical, earthquake, power shortage, evacuation, alarms, etc.

5. The Night Clerk exemplifies and ensures the highest standard of gracious service at all times.

6. The Night Clerk monitors and maintains security of the building and grounds and ensuring that only authorized persons enter the property.

7. The Night Clerk is well-versed in the Club traditions, rules, and culture and applies this information in a positive manner when dealing with guests, members, and others.

8. 1. Other duties and responsibilities as may be assigned by the management of the Club from time to time. This includes, but is not limited to, cross-training with the Guest Services team, covering bellman shifts, overseeing the setup and maintenance of coffee and continental setups, managing shoe shines, screening out non-members from accessing clubhouse, and keeping track of members.

Qualifications:

Practical experience: Experience in customer service related field is desired, though persons with equivalent training and demonstrated abilities may be considered.

Education: High School graduate or the equivalent required.

Other abilities: Ability to communicate fluently in English using oral, verbal and written skills are required. Other language abilities are desired and helpful. Reliability and dependability are required. The ability to operate computers with accuracy and moderate speed is required. Ability to operate basic office equipment is required. Ability to drive a vehicle and hold a valid driver's license is preferred.

Physical Requirements: Standing and walking for extended periods of time, and ability to move about; Sitting in a normal seated position for extended periods of time; Reaching by extending hand(s) or arm(s) in any direction; Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard; Communication skills using the spoken word; Ability to see within normal parameters; Ability to hear within normal range; Ability to carry up to 50 lbs. without assistance.

Uniform: The Club will provide a uniform suit. The Night Front Office Clerk shall provide all other items of apparel necessary. Attire and grooming shall at all times be conservative, professional, and appropriate to the Club's decorum. Other appearance standards are covered in the Employee Handbook.

Compensation: $32.00/hour.

Benefits: 401(k) retirement plan with 8% employer contribution; no matching requirement.

Health Plan (choice of 3 plans) with up to 100% of personal premiums paid, 75% of dependent premiums paid.

Dental Plan with up to 100% of personal premiums paid, 75% of dependent premiums paid.
