Accounts Receivable (New Construction)

Classification: Accounting – Non-exempt Date: 3/5/2024

Compensation: $22 an hour Reports to: Accounting Supervisor

JOB DESCRIPTION: The Accounts Receivable professional is responsible for many clerical tasks such as filing, data entry, billing, and collections. Previous work with General Contractors and track housing is a must, including billing, retention, schedule of values, releases, and liens. The position may assist other office personnel as needed to provide required meals and rest periods.

Essential Functions are as follows:

  • AIA Billing / Packet:
    • Ensure all billing documents are accurate
      • SOV (Schedule of value)
      • Conditional Release (Progress or Final)
  • Out of Stock or Supplier release (Depending on the scope of work performed)
  • Labor release
  • Work with production staff to ensure the correct billing percentage of work completed.
  • Maintain a spreadsheet with billing due dates.
  • Full understanding of the construction progress billing procedures.
  • Keeping track of Billing Due Dates and deadlines.
  • Process Monthly Pay Applications /Billing through Customer billing portals that include but are not limited to SupplyPro, Mynd, Mariner/Newstar, Procore, KB Trade, Oracle/Textura, GC Pay, and Three Lockbox.
  • Change orders
    • Communicate with the Estimators on all change order status (Track, follow up, and status)
      • Ensure the change order is approved before billing
      • The change order must be in an official form provided by the General Contractor
  • Double-check Contract sum to date is correct
  • Collection / Customer Communications
    • Contact clients as needed to ensure payment of outstanding invoices
    • Collect and allocate payments
    • monitor customer account details for non-payments, delayed payments, and payment discrepancies
  • File / Data Entry
    • Keep Track of all emails, letters, calls, and correspondence, related to client invoices.
    • File all Payment Applications in their corresponding job folder, both hard copies and digital copies.
    • Metadate all scanned documents in Laserfiche
  • Preliminary Notice / Notice of Intent to Lien / Lien / Lien Release
    • Research, prepare, and send out Lien notices (Preliminary, Intent to Lien/Notice of Lien, Lien, and Lien Release.)

Supervisory Responsibility
This position has no supervisory responsibility.

Work Environment:
While performing the duties of this job, the employee will be in an office environment with moderate temperature and noise levels.

Position Type/Expected Hours of Work:
This is a full-time salaried position. Days and hours of work are Monday through Friday, 7:30 a.m. to 4:30 p.m., 40 hours per week.

Travel
Out-of-state travel is not required.

Preferred Education and Experience
High School diploma or GED, college is an advantage but not required.
