Seeking Experience Business Office Manager for Long Term Care Facility.

Ideal candidate will be a team player, great communication skills and have the ability to work with residents/families to obtain financial approval.

Summary Description:

The Business Office Manager is responsible for all billing, accounts receivable, and collection activities for the facility and for supervising billing and collections personnel in the facility. Responsible for achieving cash collection and AR goals for the facility. Works with other department heads to ensure compliance with all financial regulatory and facility requirements. Position may oversee reception, accounts payable and payroll functions of the facility, or other areas as designated.

Essential Functions and Responsibilities:

  • Oversees all billing, accounts receivable, and collection activities in the facility.
  • Organizes, evaluates, and monitors business office operations and assigned personnel in accordance with established Standards of Practice.
  • Ensures integrity and confidentiality of all patient financial data.
  • Performs collection activities for patient carriers.
  • Establishes and maintains a system of financial record keeping to include issuing receipts, preparing and making bank deposits, and recording payments in accordance with proper segregation of duties.
  • Interacts with payors to define billing requirements and ensures prompt payment of claims.
  • Oversees all census activities including daily, weekly, and monthly balancing with nursing and admissions departments.
  • Produces reports for analysis purposes as needed.
  • Oversees month-end close activities related to charge capturing and submission of all billing statements and invoices to payors. Ensures that all facility policies and procedures relating to billing are adhered to.
  • Monitors all ongoing projects related to AR, billing, and collections with the facility.

  • Support, cooperates with, and implements specific procedures and programs for:
  • Safety, including precautions and safe work practices, established fire/ safety/disaster plans, risk management, and security, report and/or correct unsafe working conditions, equipment repair and maintenance needs.
  • Confidentiality and privacy of all data, including patient/resident, employee and operations data.
  • Compliance with all regulatory requirements.
  • Compliance with and enforcement of current law and policy to provide a work environment free from harassment and all illegal and discriminatory behavior.
  • Supports and participates in common teamwork:
  • Cooperates and works together with all co-workers; plan and complete job duties with minimal supervisory direction, including appropriate judgment.
  • Uses tactful, appropriate communications in sensitive and emotional situations.
  • Reports complaints, problems and concerns regarding co-workers, management or residents in accordance with company policy.
  • Promotes positive public relations with patients, residents, family members and guests.
  • Completes requirements for in-service training, acceptable attendance, uniform and dress codes including personal hygiene, and other work duties as assigned.
  • Agrees to comply with the Code of Conduct.

Employment Standards:

Education: Must possess, at a minimum, a high school diploma or equivalent.

Experience: Three (3) to five (5) years of experience in third-party billing and reimbursement, including Medicare, Medicaid, and commercial insurance preferred. Experience with Microsoft Office Suite to include Word, Excel, and Outlook preferred.

License: Must have a reliable source of transportation.

Working Conditions:

Works in office areas as well as throughout the facility. Must be able to move about intermittently during working hours including standing, lifting, bending, stooping, twisting,

pushing and pulling. Must be able to read, write and speak the English language. Must

be able to transfer residents and assist in emergency evacuations. Interacts with
residents, family members, staff, visitors, government agencies/ personnel, etc., under all conditions/ circumstances. Must be able to relate and work with the disabled, ill, elderly, emotionally upset and at times, hostile people within the facility. May be involved in community/civic health matters! projects. May be exposed to infectious waste, diseases, conditions, etc., including exposure to the AIDS and hepatitis B viruses.

Must be able to effectively communicate with the management staff, medical staff,
nursing staff, and other unit supervisors. Maintains a liaison with residents, their families, support staff, etc. to assure that the residents' needs are continually met.
