Position Overview: The Manufacturing Institute (MI) is looking for a full-time Operations Association, which is a key part of the organization’s Operations Team that ensures the necessary support for all of the organization’s programmatic initiatives and activities that support our mission. While directly reporting to the head of the operations team, this position will work closely with the organization’s leadership in the form of helping to manage the schedule of the MI’s President, coordinating internal scheduling needs, processing expenses and managing inputs for regular staff reporting and financial administration. The Operations Associate supports the work of the Operations Team Leader to manage organization-wide project management systems, contact databases and file management tools. This position also assists in the effective execution of high-impact events. Join the MI Team and Make an Impact in the Following Ways:Works at the direction of the Operations Team Lead to provide administrative support to the organization’s leadership and program staff.Helps to manage the MI’s President’s schedule and supports the scheduling of internal meetings as well as coordinating internal planning calendars. Provides limited travel support for the organization’s leadership including booking travel, organizing itineraries and materials and expense management.Supports internal information sharing by compiling regular staff and program reports and helps to file necessary financial materials like expense receipts and related allocations.Provides onsite support for significant convenings and external meetings with responsibilities to include registration support, supporting meeting AV needs and ensuring the availability of materials required for each meeting.Monitors shared email inboxes and supports work to respond to external inquiries. In addition, this position will cover the organization’s main phone line and manage receiving and distributing correspondence.Responsible for efficient administrative processes needed for compliance and grant funding needs, including managing contract review processes and facilitate expense approvals between the organization’s leadership, program leads, accounting and legal teams.Assists in posting information to the organization’s website and displaying approved content on other information channels, such as social media The above list of responsibilities is representative of the position and not intended to limit or preclude other responsibilities and tasks that may be associated with or added to the position. We are looking for Team Players who meet the Following Criteria:A minimum of 1-2 years related experience working in non-profit, project management, event management or administrative support roles.Team-oriented and customer service focused with the ability to interact regularly with staff, executives, and other stakeholders.Familiarity with SalesForce and Asana preferred.Proficiency in MS Office programs and SharePoint required.Must be well organized and self-motivated, with the ability to work well under pressure and able to manage workload to meet deadlines.Ability to work in a dynamic, fast-paced environment, perform multiple tasks using various software applications.Strong editing and proofreading skills; excellent communication and interpersonal skills.Exercise professionalism when communicating and coordinating both internally and externally.The successful candidate will be based in D.C.
