Health & Wellness (H&W) Receptionist – PRN

Possible shifts Monday through Friday from 8am - 8:00pm during week days and occasional weekend availability required.

The Forest at Duke’s mission is to provide a caring, responsible community that fosters the independence of residents of retirement age by enhancing their capability to lead purposeful, active, healthy and secure lives. Moreover, we strive to be the preferred provider of services for older adults in the Durham community.

The primary responsibility of the Health & Wellness Receptionist is to greet visitors and guests of The Forest and direct them to the appropriate areas. Additionally, this position will receive and direct facility phone calls and send messages on E-Mail when appropriate. The receptionist will also provide information to residents, guests, and staff as well as perform general clerical duties as assigned. This position reports directly to the Health & Wellness Administrative Manager.

Key Position Qualifications Include:

  • High School Diploma or equivalent (College degree in Business preferred)
  • Ability to maintain positive and professional relationships and interactions with residents, guests, team members, and the public
  • Experience in handling multi-line phone system and general computer knowledge
  • Strong interpersonal skills with the ability to interact effectively with everyone
  • Ability to maintain a professional attitude and communicate effectively in high stress situations with phone calls, resident requests, and emergencies
  • Ability to perform multi-task responsibilities that require analytical skills such as simple bookkeeping, medical records, and medical abbreviations

Essential Functions of the Position:

  • Receives and directs all incoming calls and emails
  • Maintains traffic control and information of the H&W main entrance
  • Assists and monitors the signing in and out of guests who lack security cards as well as monitors the return of access cards from visitors
  • Assists residents and employees with questions and directs to appropriate persons when necessary
  • Greets visitors and guests, directing them to appropriate areas
  • Provides Director of Nursing support by communicating and performing assigned duties
  • Prepares invoices on a weekly basis for approval for the entire nursing department, approximately 100 invoices per month
  • Opens new charts for new admissions, maintains updated census forms and provides copies to the Healthcare team
  • Maintains clinic, outside doctor, hospital, dental, hair, podiatrist, manicure/pedicure and all other type of appointments on calendars for healthcare residents
  • Schedule medical, transportation, and companion assistance appointments for residents
  • Maintains knowledge of Resident Handbook to be able to answer questions
  • Maintains resident confidentiality and privacy
  • Maintains reservations book for conference rooms, classroom, and The Ritz Theater
  • Keeps front desk area neat and organized
