Job Type: Full-Time (Mon-Fri - 9am -5pm)
Salary: $55,000 - $65,000 per year

Job Summary:
Are you a highly organized and detail-oriented individual with a passion for design and construction? IGNIS Design and Construction Inc. is seeking a Construction Project Administrator to assist in overseeing our projects and ensuring their successful completion. Join our team and be a part of creating innovative and high-quality building solutions!
Responsibilities:
  • Serve as an Executive Assistant, supporting the Director and management team.
  • Perform general administrative tasks including contract documentation, invoice payments, and correspondence
  • Collaborate with the accounting team on cost allocation, accounts payable/receivable, and financial documentation
  • Ensure compliance with insurance and permitting requirements, assisting in documentation and filings
  • Assist the Director with calendar management to optimize efficiency and scheduling
  • Attend weekly team meetings, contribute to discussions, and provide administrative support as needed
  • Conduct occasional job site visits and handle office errands such as visits to the bank or permitting office
  • Assist with development and implement project plans, timelines, and budgets in coordination with the project team.
  • Communicate with project teams, including architects, engineers, contractors, and subcontractors, to ensure efficient communication and collaboration.
  • Assist with compliance with building codes, safety regulations, and quality standards throughout the construction process.
  • Communicate regularly with clients, contractors, and other stakeholders to provide updates on project status and address any issues or concerns.
  • Assist with ordering materials, and equipment.
  • Prepare progress reports and present them to upper management and stakeholders to keep them informed of project status and milestones.

Qualifications:
  • Minimum of 2 years of experience in construction administration.
  • Understanding of construction processes, building codes, and safety regulations.
  • Excellent communication skills, with the ability to effectively manage and motivate project teams.
  • Highly organized and able to multitask effectively, prioritizing tasks to meet project deadlines.
  • Proficient in project management software (e.g., Procore, Primavera) and Microsoft Office suite.
  • Understanding of the construction process and experience working in the construction industry
  • Strong organizational skills and attention to detail
  • Proficiency in administrative tasks and office software applications
  • Excellent communication and interpersonal skills
  • Willingness to adapt to a dynamic work environment and contribute to team success
