The Joy S. Emery Educational and Clinical Services Center offers a wide array of services including literacy tutoring, psychoeducational evaluations, speech-language evaluations and treatment, audiological evaluations, and related services. Additionally, the center offers support for children with autism spectrum disorders and their families.

This position provides necessary support for the functioning of the Center. The Billing Coordinator is responsible for ensuring the accuracy of all patient and insurance billing records related to services provided by the clinical staff within the following programs:

Pauline K. Winkler Center
Traumatic Brain Injury and Neuro-Services Program
Early Intervention/Preschool Services
Gender Affirming Voice Group
Council for Effective Communication
Friday Knights and Social Skills Group
Literacy Tutoring

II. RESPONSIBILITIES:

  • Examine service data for each patient visit, verify accuracy of medical coding when applicable and identify the payer based on the patient's records.
  • Input billing information into the Early Intervention/CPSE billing systems.
  • Input billing information into the New York State eMedNY system.
  • Input billing information into Medicaid/Medicare systems.
  • Bill patients directly through the electronic medical records system and by generating invoices to mail to patients.
  • Maintain accurate payor information for each payor and each patient in the electronic medical records system.
  • Complete all prior authorization requests as required by each payor.
  • Resolve discrepancies and denials by evaluating data and performing corrective steps.
  • Track payments and outstanding balances, following-up with payors to request payment.
  • Stay up to date on changing billing requirements and change processes in response to these changes.
  • Prepare monthly and yearly financial reports.
  • Track preschool STAC forms through mailings and phone calls with counties and school districts.
  • Opening of the clinic Monday-Thursday.
  • Perform general office clerical responsibilities including filing, reception, mail, and telephones as required.
  • Assist in training and oversight of graduate assistants.
Job Requirements:
  • Associates Degree or commensurate experience.
  • Minimum of 1 year experience in an office administrative position, preferably medical billing, bookkeeping, accounting, or insurance adjusting.
  • High level of accuracy and attention to detail.
  • Experience reviewing documents according to established parameters, reconciling discrepancies and following up to complete the process.
  • Intermediate level computer skills using a windows-based operating system, specifically MS Word, Excel, Google Drive, and Outlook.
  • Experience managing highly confidential documents and information.
  • Excellent interpersonal and communication skills, including the ability to professionally communicate with constituents in person, by phone, and electronically.
  • Demonstrated organizational skills and experience multi-tasking in a fast-paced work environment with recurring deadlines.
Additional Information:

This is a full-time, full year. The Emery Center has evening hours, which may require occasional evening coverage. The typical work schedule is as follows:

  • Monday-Thursday: 7:45-4:15
  • Friday: 8:00am-4:00pm
