SALES COORDINATOR POSITION PROFILE
Reports To: Director of Sales & Marketing - Position is Non-Exempt

WHO YOU ARE
Your past experiences have led you to understand that there is an art science to the how and what a hospitality operations professional is responsible for. You are humble and understand the need to work side by side with others; and you take feedback to make things better seriously. It is quite natural for you to walk into a hotel and see the potential of the environment and how it could work for a variety of people, groups, events, or meetings. The first thing you prefer to discover is the event space, thinking “how big is the ballroom and how many people does it hold?” or “I wonder what the rooms are like and how many suites do they have?”. And for giggles, you are tempted to ask the front desk for a sales contact so you can take a fam tour.
Your career experience has been dynamic and is filled with numerous success stories of how you captured indecisive groups. You are adventurous in discovering the needs of your city and known to walk the area to connect and drive business to fill those seasonal gaps, all without a central reservations system as your individual effort has been greater than a central reservation system could keep up with. For you to feel comfortable within our portfolio you will have familiarity with secondary markets and recognize that hospitality differs from city to city and even from neighborhood to neighborhood. You are comfortable with casual sophistication and realize the concept of luxury has evolved to be approachable and not cookie-cutter.
WHAT YOU WILL DO
  • Anticipate and deliver exceptional service consistently
  • Must possess excellent knowledge of the hotel and all departments internally
  • Must possess ability to coordinate with multiple tasks
  • Computer literacy to include: Microsoft Word, Excel, PowerPoint, Delphi, PMS Platforms (preferred)
  • Familiar building room blocks, pulling rooming lists, routing and creating reservations
  • Excellent communications skills both written/verbal
  • Highly organized and has the ability to plan multiple activities and meet deadlines with the ability to maintain a positive and professional demeanor at all times
  • Excellent interpersonal and communication skills; phone skills, customer service oriented, proactive and a team player
  • Receive and respond to incoming telephone calls in accordance to Club standards and assists with overflow calls
  • Detail groups and events booked by the Sales Manager/Catering Manager
  • Perform administrative skills such as typing, filing, copying, coordinating appointments as well Preparing written correspondence including letters, contracts, reports, schedule of events and e-mails using MS, Outlook and Sales system
  • Maintain accounts, including traces, creating and updating bookings, manipulating events in the function diary and the preparation of contracts and Banquet Event Orders
  • Maintain the various sales file systems, including account files, master binders for BEOs and resumes
  • Periodically assist with front of the house operations including greeting and directing guests and working with banquets on quick sets or tear downs
  • All other responsibilities assigned by management
WHAT YOU WILL NEED
  • Must have a high school education or equivalent experience
  • Preferred 4 year college degree preferably with an emphasis in Hospitality or Marketing Management
  • Computer literacy to include: Microsoft Word, Excel, PowerPoint, etc.
  • A minimum of 2 years administrative experience
  • Maintain a good working relationship with other associates by promoting teamwork and fostering a harmonious working climate
  • Partake in a positive work ethic and surrounding environment
  • Able to work alone without direct supervision
  • Demonstrate high degree of drive and determination
  • Constantly recommend service and product improvement to better the operation
  • Keep the work area clean and tidy at all times
  • Attend all required meetings
  • Follow proper payroll and uniform procedures
  • Properly handle and report associate and guest accidents
  • Maintain complete knowledge of and comply with all departmental policies/service procedures/standards
  • Assist with responsibilities and duties in other departments and as assigned by management
  • Due to the cyclical nature of the hospitality industry, associates may be required to work varying schedules to reflect the business needs of the hotel including holidays and weekends
