POSITION DETAILS

Medgar Evers College (MEC), a nationally recognized leader in urban-serving education, is one of twenty-five institutions within the dynamic City University New York (CUNY) System.

The Assistant to the Director of Health Services, is a critical staff member in the Office of Health Services (OHS), and provides support in the areas of scheduling and planning.

As part of the Division of Student Success, the OHS contributes to the health care needs of our students, and is dedicated to treating them with respect, integrity and compassion.

The Assistant to the Director must adhere to a strict confidentiality policy; assist in handling of vaccination / medical records, assist in researching, organizing and scheduling events, coordinating the schedule with a diverse set of users and stakeholders;

and handle administrative tasks and marketing of programs / resources. They will also serve as a conduit between senior leadership, staff and students at all levels.

DUTIES AND RESPONSIBILITES :

  • Perform administrative tasks for the Office of Health Services
  • Organize and schedule events, conferences, workshops, and other physical or mental health-related programming for a diverse student body
  • Provide support for collaborative programming and services offered by Health Services and the Office of Counseling and Psychological Services
  • Work independently or collaboratively with other departments to ensure internal / external collaborations are maintained accordingly
  • Develop and market unique campaigns and implement them with the Office of Communications on social media and in public spaces
  • Track and follow up with communication and correspondences to partners regarding physical or mental health-related programming and scheduled events
  • Provide confidentiality while using a high degree of discretion and professionalism
  • Contribute to effective office and company operations by performing other related duties as assigned

QUALIFICATIONS

Bachelor's Degree required.

  • A minimum of 2 years related experience required
  • Understanding of project coordination, management and data analysis
  • Proficiency with MS Office application suite (word processing, spreadsheet / database, presentation software)
  • Excellent verbal and written communication skills required
  • Ability to maintain a calm, professional demeanor, confidentiality, and to effectively complete multiple tasks / projects with competing priority levels and deadlines required

Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s);

maintains department archives and collections.

Conducts internet and / or database research and performs basic systems queries to locate information related to department activities.

Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

May supervise office staff and student workers.
