The Chapin School is Hiring a College Guidance Office Manager Near New York, NY

The Chapin College Guidance Office seeks a full-time College Guidance Office Manager. 

Together with the Director/Associate of College Guidance the manager is responsible for providing a professional, thorough, and high-quality college guidance program for the Chapin community. Candidates must have great attention to detail, strong computer and technical skills, strong proofreading and editing skills, the ability to work professionally with parents, faculty and students and extraordinary concern for confidentiality.

Duties will include: 

oScheduling appointments and maintaining schedules and calendars 

oManaging and organizing an extensive fall college-visiting program 

oManaging administrative aspects of the office (e.g., Communications, Naviance, NCAA, etc.)

oProofing, editing, and sending letters of recommendation 

oOverseeing the office programs related to Testing (i.e., PSAT administration, diagnostics, updating of scores in Naviance, etc…

oSubmitting college application materials 

oMaintaining computer and paper files. 

oPreparing materials and logistics for meetings, annual college fair, etc 

oMaintaining effective relationships with parents, faculty & staff, and college admission professionals 

oUpdating and proofing publications 

oOversight of special projects

The successful candidate is likely to have experience working in a school environment and some familiarity with the college application process is a plus. Experience with highly selective college admissions is especially valued. The successful candidate should understand how to work effectively and proactively to engage with students, parents, and faculty.

Notable qualifications include:

  • Commitment to working in a diverse and inclusive office and school community
  • Technologically savvy and able to work in a fast-paced environment

·Familiarity with Word and Excel is necessary; familiarity with Naviance, College Kickstart, and Veracross is helpful. 

  • An appreciation for building relationships with students
  • Clear communicator, comfortable speaking publicly in both small & large venues 
  • Excellent responsiveness to all constituencies (parents, college representatives, etc.)
  • Exceptional writing, leadership, and interpersonal skills
  • Desire to work closely with a team of colleagues
  • A sense of humor
  • Collaborative and inclusive decision-making style
  • Confident and self-directed
  • Interest in participating in the wider school community 
  • Interest in continual professional development
  • Bachelor's degree preferred

Other Expertise 

Although not required, some background in the following areas would be helpful:

  • Research and statistics
  • Technology and social media
  • College athletic recruitment
  • Financial Aid
  • Standardized testing 

This position does require some occasional evening commitments. 

Approximately 40 hours per week, salary commensurate with experience.
