The Chapin School, an independent K-12 day school for girls located in New York City, seeks a student-centered, collaborative, and innovative person to serve as the Assistant to the Head of Middle School beginning June, 24, 2024.

The Assistant to the Head of the Middle School is a key member of the Middle School lead and partner to the Head of the Middle School. This role reports to the Head of the Middle School and coordinates with and is supported by the K-12 Chief of Staff, the Assistant to the Head of the Lower School and the Assistant to the Head of the Upper School.
Job Overview
The Assistant to the Head of Middle School supports and assists the Middle School Head and faculty in a variety of areas. As the first point of contact between the Middle School and the wider community, the Assistant to the Head of Middle School must take joy in welcoming and helping people in myriad and unpredictable ways and enjoy working in a fast-paced and highly collaborative atmosphere. Reporting to the Head of the Middle School, the successful candidate will bring a professional presence, energy, enthusiasm, and demonstrate flexibility and initiative.
Providing ongoing executive support for the Division Head, the Assistant to the Head of Middle School will have the ability to manage and prioritize multiple projects, have strong organizational and time management skills; warm, engaging oral and written communications skills; and experience working in a supportive role, preferably in an education or non-profit setting. With excellent interpersonal skills, and a positive “can-do” upbeat attitude, this individual will interact daily with students, colleagues, and parents. A high degree of professionalism and commitment to maintaining confidentiality is essential in this role. Working in a busy office, proficiency in the Google suite of products is essential as is comfort with new systems. A college degree is required for this position.
The Assistant to the Head of Middle School is responsible for:
Managing and reporting daily attendance and updating student attendance records
Coordinating and supervising daily dismissal, including school buses, after school activities, and other dismissal options
Managing the Head of Middle School’s schedule and anticipating upcoming events
Maintaining and overseeing the Middle School budget across its departments - ordering and maintaining supplies, booking professional training for faculty, working with external vendors as needed
Collaborating with the following internal departments for day-to-day operations and organizing special events: facilities, food services, communications, admissions, advancement and technology
Managing substitute teacher needs as needed
Supporting the different stages of the Middle School hiring processes including coordinating interviews and visits for candidates
Liaising with faculty, assisting in their daily needs and requests
Communicating with faculty, staff, and parents
Editing and filing student reports and facilitating requests for transcripts
Preparing Middle School communication to be shared with the community
Assisting in special projects as needed

Required Qualifications
Bachelor’s degree
Previous calendar coordination experience
Proficiency with Microsoft Office and Google Suite.
Preferred Qualifications
Experience working in an independent school or non-profit organization
Experience working directly with children in a professional or volunteer capacity
Experience and comfort interacting, in verbal and written form, with internal and external stakeholders to effectively represent the Middle School Office
Experience with Veracross
Schedule Requirements The hours of work are Monday–Friday, 7:45 am– 4:00 pm. Occasional attendance at school-related functions outside of these regular hours is required.
The salary for this position is commensurate with experience, and the range is $68,000-$80,000
