The Office of Communications is a centralized service unit that develops effective communications products and strategies to empower and share impactful scholar messages to wide audiences. The Office of Communications meets the daily needs of the institution through web development and publication support, convening and event support, multimedia services like video, animations, and podcasting, governance of visual design and brand systems, social media management, and institutional brand and media communications.

Position Location: This position is hybrid. Hybrid positions combine regular in-person presence at our Washington, DC, office with the option of at least two days of remote work each week.

Vaccine Policy: Brookings requires all staff and visitors to submit proof of complete vaccination against COVID-19 to be in Brookings buildings.

Responsibilities

Ready to contribute to Brookings success? 

The Press and Events Coordinator reports to the Director of Events Strategy and directly supports the Publisher, Brookings Institution Press (BIP). The coordinator will support the Events Team in the execution of remote, hybrid, and in-person events and help manage guest registration, check-in, and email communications. They will also manage the web-based transcription process for all events. This position will also report to the Publisher, BIP and support efforts to expand and strengthen engagement with the media for Brookings Institution Press books by coordinating advance review copies for key stakeholders and tracking media pitches. The coordinator will work with both teams to manage public facing inboxes, route contracts and invoices, maintain databases, and update webpages. This position is Washington, DC based for a 12–18-month appointment.

General Responsibilities (40%)

  • Assists with the management of Brookings Institution Press (BIP) and Events inboxes. Routes incoming calls and emails.
  • Assists with uploading and submitting BIP and Events contracts and approved invoices and follows up to ensure payment. Coordinates with Finance, OGC, and vendors to ensure all documentation needed for approval and payment has been submitted.
  • Assist with maintenance of databases for Events such as event audit spreadsheet and photo collections, and BIP book review and targeted journalists for non-trade books list.
  • Helps update BIP and Events webpages on Brookings.edu.

Events Support (30%)

  • Assists the Events Team with management of in-person check-in, including registration and troubleshooting for Brookings's event attendees, and pre-event room setup check. Helps draft, send, and track event invitations and follow-up communications.
  • Processes all event transcript audio recordings through a web-based transcriptions program, reviewing in full for accuracy, clarity, and errors. Routes completed transcripts to programs for review and formats for posting to brookings.edu.
  • Assists program staff with any in-person support, such as routing live and advanced online audience questions, running mics for live audience Q&A, etc.

Brookings Institution Press Support (30%)

  • Assists the BIP Publisher in supplemental media outreach for Brookings Press books. 
  • Helps to establish relationships with reporters, research opportunities for further outreach, and track pitches.

Qualifications

Education/Experience Requirements:

Bachelor’s degree in communications, public relations, media, journalism, event management or related field required. Minimum 1-2 years of related work experience, including internship, campaign, or volunteer experience. Demonstrated interest in events management, publishing, and/or the media strongly preferred. Experience with database management is a plus. Must be authorized to work for any employer in the U.S.

Knowledge/Skills Requirements:

Outstanding written and verbal communication skills. Positive, proactive, outgoing, and professional personality. Strong self-management skills, including the ability to manage time and workload against priorities in a rapidly changing, fast-paced environment. Proficiency with Microsoft Office a must.
