Position Summary

The Business OperationsManager is a key position in UNC’s Administrative Service Center (ASC) model.The mission of the ASCs is to provide stakeholders with quality, timely andefficient services. ASCs will achieve this mission by utilizing technology,cultivating the skills of our staff and building strong relationships withcampus stakeholders. ASCs will operate with the understanding that we live in acompetitive environment and our goal is to ensure efficient and effectiveservice.

ASCs provide support toUNC’s administrative divisions and academic colleges. ASCs reduce fragmentationin roles and emphasize specializations. In its basic form, the ASC team willconsist of (1) a business operations manager, (2) a human resources specialist,(3) an accounting specialist, and (4) a communications specialist.

The Business OperationsManager will have primary responsibility for key business functions, includingstrategic budget management, enrollment analyses, coordination of facultyworkload and overloads, accounting and transfer of Research Incentive funds andcollege endowment funds, and management of the FLAC payroll system. TheBusiness Operations Manager will also coordinate various types of academicsupport, including course scheduling, coordination of faculty and courseevaluations, and accreditation and curriculum support. 

Job Duties

BudgetManager (40%)• Understand allcomponents of the college operating budget spanning organizational units and
provide strategicbudget planning.
• Coordinate thepreparation and administration of annual operating budgets, forecasts, andmulti-year
projections for usewithin the college and as a component of university-wide financial reportingand
modeling.
• Consult with deansand unit leaders to create budgets by line item and analyze in relationship to
anticipated revenueand expenditures.
• Track future year’scommitments from a budgetary perspective.
• Analyze, evaluate,and manage internal and external funding sources/budgets including state,academic course fee, foundation gift/grant, indirect cost allocation,self-supporting, and agency funds.
• Investigate, monitor,advise and recommend solutions for budgetary problems and procedures.
• Compile data toproduce reports for division/college leadership regarding budget status.
• Prepare and submitbudget revisions and corrections.
• Project expenses andfinancial feasibility for hiring proposals to assist leadership with facultyand staff
position management.
• Request BannerFinance security access and approve Insight security access for faculty andstaff.
• Request new andupdate existing approval queues for college funds.
• Complete year-endbudget analysis.
• Project expenses andfinancial feasibility for hiring plans and monitor accounts monthly.
• Assist with fiscal policy development within thedivision/college.
• Advise and coordinatewith accounting specialists on college processes for purchasing and travel
requests, use ofappropriate account and program codes and requests for journal entries.
• Advise and coordinatewith human resources specialists on faculty and staff position requests, salary
analyses, labor distributions/redistributions, unit leaderstipends, and adjunct and overload contracts.
CourseScheduling/Evaluation, and Enrollment Analysis (essential 20%)
• Understand theuniversity course scheduling processes and provide expertise regarding courseschedule data.
• Manage courseschedules. Develop timelines and procedures for course scheduling. Ensureaccurate and compliant course data entry.
• Create, maintain, andmodify the master course schedule.
• Analyze unitschedules to ensure compliance with state and university scheduling policies.
• Analyze historicaldata and make recommendations to college leadership on enrollment trends asthey relate to course schedules and staffing.
• Track and implementenrollment management recommendations and decisions.
• Track and updatecourse override data to ensure the appropriate college, division, anddepartment
receive generated student credit hours.
• Evaluate and processrequests to add individuals to Canvas shells in compliance with theUniversity’s LMS policy.
• Compile scheduled andspecial reports for analysis of course scheduling data.
• Monitor requests forpre-assigned classroom spaces to ensure there is a pedagogical, technological, equipment,or disability-related requirement.
• Create and deploycourse evaluation surveys to gather instructional feedback utilized for facultyand program evaluation.
FacultyLoad and Compensation Management (essential 30%)
• Create and generateworkload spreadsheets for unit leaders to allocate faculty workload/overloadand request adjunct payroll contracts.
• Analyze and verifyworkload and overload data to ensure that units allocated represent universityand college workload policies and formulas; consult with unit leaders and deanto resolve discrepancies.
• Enter and trackfaculty workload data, overload payroll assignments, and adjunct payrollassignments in Banner.
• Coordinate with humanresources specialists to resolve FLAC processing discrepancies.
• Consult with unitleaders to resolve discrepancies when faculty workload data and instructor
assignments on course schedule do not match; updateinstructor assignment for courses in Banner as needed.
• Analyze historicaldata and make recommendations to college leadership on faculty workloads.
• Coordinate and trackfaculty overload approval process in conjunction with dean and provostreview/approval.
Faculty/AcademicData Management (essential 10%)
• Serve as FacultySuccess college administrator, in conjunction with associate dean, utilizingapp/platform to build schedules, templates, and workflows for units to completeannual/biennial/triennial reviews, and comprehensive reviews for pre-tenure,promotion, tenure, and post-tenure.
• Track facultycontractual agreements relative to onboarding commitments, reappointment,
evaluation/promotion/tenure schedules and sabbaticaleligibility.
• Track faculty datafor rank, promotion, tenure, and sabbaticals in Banner and request updates fromHR when needed.
• Assist with programreview scheduling, verification, and documentation.

Minimum Qualifications

1. Education:
Bachelor’s degree in the field of Business Administration or Accounting, or five years of office
management experience with a significant budgetary component in a college or university.

2. Experience:
Minimum of five years of progressively responsible related experience in a college or university.

5. Special Considerations: 
This position must have knowledge of:
 Modern office methods and practices including bookkeeping and fiscal management
 Personal computer software programs including word processing, spreadsheet, workflow tools,
electronic markup, SharePoint, and Microsoft Teams.
 UNC applications including Banner (with associated modules such as FLAC), Insight, Digital
Measures, EvalKit, OnBase, Application XTender.
