Position Overview:
Under the supervision of the Director of Human Resources, the Human Resources Specialist is responsible for the administrative support of day-to-day human resource operations such as assisting in the new hire and offboarding processes, human resources data management, and supporting compliance efforts in areas such as worker’s compensation, FMLA, training and background check management. This position also provides direct administrative support to the Chief Financial and Operating Officer and the Director level business office personnel and manages business office operational functions.
Essential Functions and Responsibilities:
New Hire and Onboarding
Manages Applicant Tracking System
Submits job postings online and assists with candidate interview scheduling as needed
Manages HRIS onboarding process, tracking new hire paperwork and completion of required onboarding tasks
Manages background check process for new hires and school volunteers
Creates new hire packets and coordinates benefits orientations.
Assists with faculty/staff contracts
Day-to-day efficient operation of the HR department
General support for HR Director
Answers employment related questions
Performs HRIS and online training system data entry and maintenance, and maintains confidential employee personnel files;
Manages Family Medical Leave Act (FMLA) paperwork
Assist with preparation and processing of new and annual employment agreements and co-curricular assignment letters.
Maintains all job descriptions in the Job Description Library, ensuring their consistency in the standard Blake format.
Assist with the administration of the wellness committee
External employment verifications
Offboarding process
Schedule exit interviews
Creates required offboarding notifications and paperwork.
Provides exiting employees with continuation of benefits information and processes offboarding
Administrative Support
Provides administrative support for the business office Directors
Assists with scheduling appointments
Assist with coordinating committee meetings and special projects
Serves as first point of contact for the Business Office, answers phone, directs visitors
Sorts and distributes departmental mail
Manages departmental office supplies
Maintains confidentiality and protects operations by keeping business office/human resource information confidential
Minimum Qualifications:
2 years of general HR experience, including hiring/onboarding/HR administration
2-4 years of administrative office experience, preferably supporting management level positions.
Strong interpersonal skills - ability to interact with faculty, staff and parents in a friendly and professional manner
Excellent communications skills - written and verbal
Detail-oriented and thorough with strong organizational skills
Excellent customer service skills
Critical thinking skills and continuous improvement mentality
Excellent multi-tasking ability. Able to work with multiple and changing priorities
Strong Computer Skills including proficiency in Microsoft Office Suite and Google Suite
Intercultural Competence
Preferred Qualifications
BS Degree in HR, Business Administration or related field, preferred but not required
Experience managing Human Resources Informational Systems
General payroll knowledge
Working Conditions
Professional office environment.
Routinely uses standard office equipment such as laptop computers and smartphones.
Physical Requirements:
Able communicate through a variety of modes, such as talking in-person, on the telephone or through email or other written communication
Frequently is required to stand and/or walk;
Frequent use of keyboard
Able to lift at least 10 pounds
