Description

POSITION: Administrative II/ Coordinator FLSA CLASSIFICATION: Non-Exempt

STATUS: Full-Time NORMAL WORKING HOURS/DAYS: M-F

Person-centered Focus: 

Life & Community Advocators perform a wide variety of person-centered supports and services with a strong emphasis on personal choice for individuals with developmental disabilities. These supports and services involve advocating for, encouraging, guiding, and teaching individuals in expressing personal choices, developing daily living skills and habits, taking care of their personal needs, assure community integration, ensuring their health and safety, and maintain a healthy, safe home environment. The supports and services performed depend upon the specific abilities of the individuals being served and the nature of the setting where the activities are performed.

meaningful relationships in an inclusive environment) 

Position Summary Statement: Responsible for the smooth operation of the Community Supports’ office, and coordinating internal and external databases. 

Essential Functions:  

Administrative

· Welcome visitors, families, and staff who contact the front desk

· Create, maintain, and coordinate scheduled and unscheduled virtual meetings using a variety of platforms

· Coordinate with the Human Resources department to facilitate the onboarding of new hires

· Maintain a list of current staff vacancies and communicate needs to HR

· Work with the team to optimize work opportunities for current staff

· Communicate effectively with people inquiring about services, refer to appropriate Arc staff

· Facilitate issues related to office equipment, IT, utilities, phones, security systems, cleaning services, mail delivery, office supplies, etc.

· Assist with purchasing cards 

· Submit invoices to the electronic database

· Conduct quarterly audits of both Arc and contractual staff’s training and certifications

· Assist with developing monthly invoices for grant-funded programs

Database Coordinator

· Coordination of internal and external databases

· Perform daily data entry to internal and external databases 

· Troubleshoot technical problems

· Analyze information and data

· Design queries and reports 

· Oversight of security, logging in and out, entering into databases

General

· Effective management of a small caseload

· Demonstrate resourcefulness in problem-solving

· Cooperate readily with the team to meet departmental goals

· Maintain professional appearance, attitude, and demeanor

· Utilize time efficiently, and complete assignments on time

· Readily cooperate and participate in team activities

· Encourage a safe working environment

Mental, Physical, and Visual Demands:

While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear, both in person and by telephone; use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The ability to drive is a requirement of the position. 

While performing the duties of this job, employees are regularly required to use written and oral communication skills; read and interpret data, information, and documents; analyze and solve non-routine and complex problems; use math and mathematical reasoning; observe and interpret situations; learn and apply new information or skills; perform highly detailed work on multiple, concurrent tasks; work under intensive deadlines with frequent interruptions; and interact with the community stakeholders including elected and appointed officials, staff, people served, the public and others encountered in the course of work.

Working Conditions:

· Normal office environment; may be required to work remotely 

· Must be able to work effectively with limited supervision

· The ability to work effectively remotely/virtually

Additionally Skills:

· Familiar with basic office equipment (e.g. computer, facsimile, copier, postage machines, etc.)

Operational understanding of software and Microsoft Office including Excel and PowerPoint 

Requirements

Qualifications:??? Prefer BA but will consider applicants with minimum 2 years of experience. Must have a good driving record, reliable vehicle, and current Maryland Driver’s license, with no more than 2 points. Strong computer skills required. Must be flexible, willing to work on multiple projects as needed· Must demonstrate respectful, culturally sensitive communication skills and be able to establish a good rapport with people receiving support and their families· Must demonstrate proficiency in writing, budgeting· Experience working with complex databases, troubleshooting problems, analyzing information and data· Supervisory skills preferred.
