Position Overview

As our new Project Manager, you will provide enterprise-level leadership and guidance to the organization’s operations, finance, marketing, and people services departments. The Project Manager is responsible for developing and overseeing department-specific, site-specific, and enterprise-wide project plans. Core projects for this role include de novo expansion, acquisition integration, EHR configuration, migration, and onboarding. Expanded projects for this role may include finance related initiatives, marketing and research projects, and people service initiatives surrounding acquisition integration, organization events, HR technology onboarding and integration, and assistance with some administrative tasks such as travel coordination. In this role, it is critical that this individual creates strategic project plans with the future in mind. The Aesthetic Syndicatehas rapid growth plans for the next several years through continued acquisitions and de novo – this position directly impacts the success of these initiatives. It is our goal to work as a collaborative team to provide excellence in culture, patient experience, and develop best practices throughout the organization.

Responsibilities

  • Develop project management and tracking tools to drive execution and accountability across functional teams and field operations.
  • Maintain high standards of service quality and compliance with regulatory requirements, implementing best practices and continuous improvement initiatives.
  • Lead the planning, execution, and closing of de novo projects, ensuring timely delivery within budget and scope.
  • Collaborate with executive leadership to define and develop project plans for acquisition integration.
  • Development, testing, and management of standardized core elements of new Electronic Health Record (EHR) system.
  • Development, testing, and management of API integration channels as applicable within EHR.
  • Development, testing, and management of extended elements within EHR.
  • Development and management of EHR SOPs and training guides in partnership with VP of Operations and VP of People Services.
  • Train department heads/teams as necessary to extend system administrators such as marketing, accounting, etc.
  • Create customized best practice whitepapers on migrations from common systems to new EHR platform to serve as a guide for future migrations.
  • Assist as needed with aggregation of data points as it pertains to business KPIs.
  • Assist with research to maintain accurate, competitive regional service pricing on an annual, de novo, and acquisition basis.
  • Lead onboarding and integration of new systems, software, and technologies to support corporate initiatives and enhance end-user experience such as EHR, HRIS, CRM, etc.
  • Collaborate with the VP of Finance to identify project needs and opportunities for cost optimization.
  • Assist VP of People Services with: Acquisition and de novo day one welcome planning (welcome letters/folders, swag bags, meals, etc.), Organization event coordination, HR technology implementation/integration, and when possible, assist with administrative duties such as travel coordination and some calendaring.
  • Collaborate with VP of Marketing to coordinate marketing initiatives, including promotions, events, and other tasks as necessary to drive customer acquisition and retention.

Qualifications

  • Bachelor’s degree OR HS diploma w/8 years’ experience
  • PMP certification highly preferred

Experience:

  • Proven experience leading and developing strong project plans in a multi-site setting.
  • Minimum of 5 years in project management
  • Strong understanding of acquisition integration processes, de novo expansion strategies, and operational best practices
  • Strong understanding of financial principles, budgeting, and financial analysis
  • Demonstrated leadership abilities with experience in change management.
  • Exceptional communication, negotiation, and relationship-building skills
  • Working knowledge of MS Office, PMO and EHR systems (e.g. Monday.com, PatientNow, Zenoti, etc.)
  • Excellent verbal and written communication skills
  • Dedication to high quality patient care
  • Detail oriented, reliable, and able to multi-task in a fast-paced, high-volume work environment.
  • Knowledge of the MedSpa industry and regulatory requirements is a plus.

Physical Demands

This position may require duties including lifting and carrying up to 30 pounds, sitting for prolonged periods of time, and frequent standing or walking. Good visual and auditory acuity as well as good manual dexterity paired with the ability to be readily understood.
