Who is the Texas Bankers Association?

The Texas Bankers Association (TBA) is the largest and oldest state banking organization in the country. Founded in 1885, TBA has grown and evolved over the years in fulfilling its mission to provide world class advocacy, education and products and services to approximately 400 member banks across Texas. A not-for-profit, 501(c)(6) entity, TBA has also serves as the umbrella to three for-profit subsidiaries and a non-profit foundation – all totaling nearly 90 employees across the enterprise. What our team Needs:

We are seeking a motivated and experienced Executive Assistant who desires to be part of a dynamic, fast growing, and diverse organization. To excel in this role, you'll need to be exceptionally organized, possess an eagle-eyed attention to detail, be driven by self-motivation, and adept at adapting to shifting workloads and priorities. Strong communication skills are a must, as you'll be juggling multiple tasks and interactions simultaneously.

Key Components of the Position:

  • Organizes and coordinates schedules by arranging appointments, maintaining calendars, and scheduling meetings, conferences, travel (professional), and presentations.
  • Organizes meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Manages complex calendaring of busy, fluctuating schedules that often conflict, includes adding, canceling, and editing meeting requests, as well as ensuring timing and logistical details are in place; reminds manager of pending meetings and provides pertinent information.
  • Approaches work with hospitality and others-focused mentality by answering telephone calls, greeting visitors, responding to information requests, and composing correspondence (often of a confidential nature) with friendliness, timeliness, and smooth coordination.
  • Prepares meeting agendas and briefings, maintains meeting notes, and arranges for implementation of action items.
  • Maintains a task list of requests, and updates based on progress and communicates regularly on those advancements.
  • Manages competing priorities with minimal direction.
  • Initiates follow-up procedures to ensure that projects and other tasks are completed and/or deadlines met including coordinating activities with others, and developing systems for tracking information, projects, and pending issues.
  • Types, edits, and composes a variety of letters, memoranda, reports, charts, tables, legal forms, etc.; prepares agendas; transcribes minutes; composes documents from handwritten or verbal instructions; reviews documents for completeness and accuracy including proper format, grammar, spelling, punctuation.
  • Receives and screens phone calls, visitors, incoming correspondence, documents, and e-mails on behalf of the General Counsel; prioritizes and routes as appropriate; obtains and/or gives information; answers routine inquires.
  • Tracking expenses, processing invoices, and maintaining budget records.
  • Anticipating needs and proactively addressing issues that may arise, troubleshooting logistical challenges, and finding solutions to problems efficiently.
  • Works with Accounting team to maintain database updates related to member info and political action committee contributions.
  • Manages annual lobby registration and monthly lobby filings for TBA’s registered lobbyists.
  • Other duties as assigned.

Essential Qualifications & Characteristics:

  • Bachelor’s degree preferred.
  • Minimum of 10 years of experience supporting executives or senior-level management.
  • Outstanding written and verbal communication skills.
  • Accelerated problem-solving skills.
  • Able to pay meticulous attention to detail.
  • The ability to manage multiple projects simultaneously and prioritize based on guest and manager needs.
  • Strong interpersonal skills to interact positively with all employees.
  • Excellent knowledge of Microsoft Office Suite, and other web-based applications.
