Summary

The Accounting Specialist is responsible for all aspects of the billing process including preparing invoices, verification of billing with accounts receivable ledger, billing and reconciliation of intercompany transactions and verification of documents for manual billing processes. This position will process changes in the system to support accurate and efficient billing processes and financial close. The Accounting Specialist will follow up and interact with other departments and outside services.

Essential Duties

• Actively support the company’s culture and business mission by always putting TCP employees and customers first.
• Post daily cash receipts accurately to customer accounts adhering to the account close and reporting schedules. Follow up on unapplied transactions on a timely basis.
• Responsible for the timely and accurate billing of customer accounts which includes invoicing, preparation of credit memos and other miscellaneous transactions.
• Print daily customer invoices, scan for reasonableness and work with office administration to make sure mailing is timely. Update the accounting system by posting each batch.
• Process miscellaneous manual and retail related billings in accordance with standard operating procedures.
• Bill all shipments from warehouse the same day the shipment is made. Reconcile shipped and not billed transactions.
• Review the reports and logs daily to identify issues; coordinate resolution and re-bill requirements.
• Monitor and track billing transactions to ensure accurate processing of retail electronic billing and verify all files are received properly by retailer’s A/P department.
• Perform work on credits and deductions.
• Process credit card payment transactions from customers.
• Communicate and interact with outside services including Utilities, Outside Warehouses and OEM. Includes billing in JD Edwards and billing in the customer’s website, as needed.

• Contribute to the team effort by accomplishing related results as needed.
• Actively promotes and personally observes safety and security procedures, and uses equipment and materials properly.
• Other responsibilities or projects assigned by manager.

Experience/Requirements

• 2-3 years prior billing experience.
• Invoicing experience in an ERP business system.
• Proficient on computer keyboard and 10-key operation.
• Proficient in Microsoft Word and Excel.
• Detail oriented. accurate and focus attention needed and ability to multi task and get processes completed in a timely manner
• Consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance

Skills, Knowledge and Abilities (SKAs)

• JD Edwards knowledge a plus.
• Technical expertise includes but not limited to the use of JDE software, Microsoft suite products and general accounting principles.
• Excellent interpersonal skills
• Strong verbal and written communication skills.
• Able to work as part of a team and cross train into other jobs with similar functional requirements.
• Good planning and organizational skills to balance and prioritize work

Education/Training

• High school diploma or equivalent.

Physical/Environmental

• Sitting for long periods of time, completing tasks using a computer and other office equipment.

• Position requires frequent talking, hearing, and vision with occasional standing, walking and reaching.
• May require lifting up to 10 lbs.
• Job position responsibilities are generally performed in a business office environment with computers, printers and phones.
