Job Summary

Job Summary: The incumbent is a key administrative support within the Community and Infrastructure Development Division, handling essential tasks such as processing purchases, managing travel documents, overseeing office operations, and providing contract support.
Adhere to the TCC Ch’eghwtsen’ model of service and guiding principle which requires providing timely and effective service along with the ability to interact with others in a way that inspires trust and demonstrates respect, compassion and empathy.


Essential Functions

Essential Functions: This list is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and tasks performed by incumbents. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

Representative Duties:
Under the general supervision of the Infrastructure Grant & Office Manager, the job incumbent will:
1. Managing, ordering, and purchasing supplies as needed.
2. Prepares, processes and tracks paperwork and documentation, including travel requests, purchase requests, and invoices, maintaining a soft ledger to track expenses against encumbrances and utilizing Oracle Enterprise system.
3. Provides clerical and administrative support for special projects involving other programs and staff within the Infrastructure Division.
4. Manages both hard copy and electronic records, including office documents and construction documents. Develops and maintains document storage in file cabinets, bookshelves, and electronic systems.

Other Responsibilities:
1. Performs other job related duties as assigned.


Minimum Qualifications

Minimum Qualifications:
1. A high school diploma or GED equivalent is required.
2. Three to five years of clerical experience and be proficient in operating standard office equipment.
3. Proficient in computer programs, including Microsoft programs, Oracle, Agiloft, Adobe Acrobat Pro, and database systems.
4. A valid Alaska Driver’s License with a clean driving record is required.
5. The incumbent must pass a background check in accordance with the federal Indian Child Protection and Family Violence Prevention Act requirements.
6. Typing speed of at least forty-five (45) words per minute is required.
7. Experience working cross-culturally with Alaska Natives is preferred.
8. Must pass background check pursuant to federal Indian Child Protection and Family Violence Prevention Act requirements and the State of Alaska background check.

Knowledge, Skills and Abilities:
1. Effective Communication in both written and oral communication, using positive interpersonal skills.
2. Functions effectively as a team member, fostering productive and collaborative relationships with co-workers and the community.
3. Balance independent problem-solving and decision-making and team collaboration.
4. Knowledge of social, cultural, and economic conditions in rural Alaska.
5. Familiar with computer programming, including enterprise systems and contract life cycle management systems, such as ORACLE and Agiloft.
6. Ability to efficiently use and manipulate Excel spreadsheets.
7. Strong organizational and time management skills.
8. Ability to see projects through from start to finish.
9. Ability to handle phone calls and take detailed messages.
10. Knowledge and experience of organizing and maintaining file records and databases.
11. Confidentiality must be maintained at all times.

Supervision:
This position has no supervisory responsibilities.

Physical demands: In addition to typical office work, the job entails extended hours of sitting and operating standard office and computer equipment. The role involves recurring activities such as bending, stooping, kneeling, reaching, and stretching. Attention to detail is crucial, as the work is subject to multiple deadlines. The incumbent must maintain accuracy and efficiency in a busy, dynamic, and occasionally stressful environment. Furthermore, there may be occasions when the job incumbent is required to push, pull, lift, and carry items weighing up to 40 pounds.

Summation: This role involves frequent interaction with staff, necessitating the ability to present oneself in a polite manner while collaborating with diverse individuals. Strong interpersonal skills are crucial due to the demands of the job. The incumbent must work independently and demonstrate reliability in attendance and punctuality.
