OFFICE COORDINATOR
POSITION OBJECTIVE
Responsible for the administration of the office. It is critical that this person develops expert knowledge of
communication protocols particularly as they relate to communications with customers and vendors. This
position reports to the Project Accountant.
Essential Functions & Responsibilities:

Essential Functions & Responsibilities:
- Provides a friendly personal greeting to all visitors; notifies parties being met
- Answers calls, forwards calls to parties, and takes accurate messages.
- Sorts, stamps and delivers all incoming mail and packages.
- Logs all incoming cash receipts.
- Scans Insurance Certificates and Payable Invoices to account payable.
- Maintains express mail supplies (FedEx, Airborne, and UPS).
- Purchases postage to outgoing U.S. Mail.
- Inventories and maintains supply closet; orders kitchen, office and bathroom supply as needed
- Assists in ordering flowers per Management request.
- Assists in ordering lunch for executive meetings.
- Assists in scheduling and coordinates employee events, luncheons and office decorations.
- Responsible for Facility Repair and Maintenance coordination and keeps the common areas neat.
- Maintains conference room schedules.
- Assists in maintaining the Fleet maintenance log and mileage log.
- Assists in creating the company calendar on a monthly basis and distributes birthday and anniversary
- cards.
- Assists in scheduling and coordinates job interviews for managers, maintains interview test
- information.
- Assumes additional responsibilities as directed by supervisor or company executives.
Skills, Knowledge, Qualifications and Experience:
This position requires knowledge of general office procedures including telephone and office software
applications. Excellent communication skills are required.
