Description

Job Title: Centralized Application and Lease Specialist
Department: Corporate 
Reports To: Centralization Manager
Classification: Non-Exempt

Position Summary: Responsible for overseeing the comprehensive application process, encompassing review, approval, and denial stages, as well as meticulous verification of lease terms and rentable items. Proficiently handle the lease generation process and ensure the collection of signatures necessary for a smooth move-in experience. Collaborate seamlessly with the on-site community management team to establish a cohesive partnership, fostering cross-functional collaboration that guarantees future residents a positive and seamless approval and lease signing journey.

Essential Duties:Acts as the first line contact, verbally and in-person, for all prospects, vendors, fellow employees, management executives and public in general. Attempts to lease apartments shown and/or preleases apartments with notices to vacate through new contacts and renewals of existing residents. Increase value of real estate by reaching and maintaining maximum occupancy of apartments and their maximum rates. This is a line position with direct impact on company funds.

  • Oversee the entire application lifecycle, including reviewing, approving/denying applications, verifying income, and conducting thorough background checks.
  • Ensure compliance with federal, state, and local fair housing regulations throughout the application process.
  • Verify application qualifications, government-issued photo IDs, parking/vehicles, pets, and other rentable items prior to lease generation.
  • Collaborate with Property Managers and Assistant Property Managers to ensure accurate lease information and collection of required signatures within the specified timeline.
  • Finalize customer applications, ensuring all necessary background checks, deposits, and lease paperwork are completed according to legal requirements and company policy.
  • Maintain meticulous records in ResMan and DeskPro, accurately entering application information and relevant notes.
  • Provide exceptional customer service to both internal and external stakeholders, addressing inquiries and questions related to applications, leases, property details, and amenities.
  • Create a seamless transition during the online application, approval, lease signing, and hand-off process by collaborating closely with the centralization team and on-site community management staff.
  • Identify opportunities for process optimization and innovation within the department, contributing to its growth and success.
  • Partner with internal SYNC Residential teams to enhance access to data, automation, reporting, and technology that supports departmental decision-making and efficiency.
  • Adhere to SYNC Residential's legal and audit requirements, ensuring full compliance with all applicable regulations and guidelines related to applications, leases, and resident documentation.
  • Prepare accurate reports, memos, letters, and other documents using relevant software tools under the direction of the Centralization Manager.
  • Collaborate with the on-site community management team to enhance customer survey ratings, particularly related to the application and move-in process.
  • Ensure residents are notified of application approval, prepare move-in paperwork, and guide new residents through necessary paperwork and deposit payments.
  • Stay updated on the surrounding area, property details, company policies, and lease specifics to address applicant/resident inquiries effectively.
  • Support centralization teammates with application processing and follow-up as needed.

EXPERIENCE AND REQUIREMENTS:

  • Valid Driver's License
  • Prior multifamily leasing experience highly preferred
  • ResMan experience highly preferred
  • Spanish Bilingual highly preferred
  • High school graduate of GED is required
  • Proficient in Microsoft Office Suite
  • Excellent verbal and written communication skills and interpersonal skills

Education/Experience:

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
