Position: Grants Coordinator

Building/Department: Administration Building/Central Office

Rate of Pay: $60k-$80k, full benefits, flexible schedule

The Grants Coordinator works in collaboration with the Executive Director of Business and Finance, the Director of Curriculum and leadership assigned to the grants to support the financial operations of the District. This position will be responsible for the accounting, reporting and budget development for 50 grants, including all state, federal and local grants and assist the Executive Director of Business and Finance with district budgeting the general ledger and other areas as assigned, etc. This includes inputting grant budget detail into the corresponding grant software, i.e. MEGS , Nexsys, GEMS/MARS, etc., reconciling all grant expenditures and grant budget spreadsheets, inputting and updating the budget detail in the accounting system, SchoolsOPEN, including creating and updating all appropriate grant codes according to the Michigan School Accounting Manual (Bulletin 1022), completing any state and/or federal reports, working with building and department staff to plan and prepare for expenditures that are in compliance with the grant language and any other duties as assigned by the Executive Director of Business and Finance. These functions will be completed with the use of fund accounting in accordance with the Michigan Public Schools Accounting Manual.

MAJOR DUTIES AND RESPONSIBILITIES:

Provide staff support to the Executive Director of Business and Finance in the following areas:

Actively pursue, identify, and successfully secure competitive grants opportunities.

  • Assist with developing, documenting, disseminating and training of procedures and internal controls and any changes in practices/polices.
  • Assist Executive Director of Business and Finance with preparation of fiscal year budgets and department budgets as assigned.
  • Prepares, reviews, and/or approves monetary draws on all federal and state grant funds.
  • Actively collects and compiles information for annual financial single audit requirements, including the distribution, completion, and retention of all requires PARs and other time and effort logs as required by federal guidelines and the Single Audit Act.
  • Create and assign general ledger grant distribution account codes for all newly hired or allocated grant funded employees.
  • Review the transaction detail report for each grant monthly to ensure that only permissible expenditures are charged to each grant.
  • Create and maintain new grant accounts in the accounting system, SchoolsOPEN.

MAJOR DUTIES AND RESPONSIBILITIES (Continued):

  • Coordinate federal, state and other district grant accounting activities and ensure the District is maintaining all required grant documentation and is in compliance.
  • Input and maintain all grant budget detail in the State’s respective grant accounting system, i.e. Nexsys, MEGS , GEMS/MARS, etc.
  • Preparation of journal entries necessary to reflect proper and approved grant activity.
  • Prepare and request quarterly, monthly, annual grant draw downs and reimbursement requests.
  • Prepare and submit annual State reports including the Consolidated Application for Title funds, SE4094, SE4096, Medicaid, grant final expenditure reports, etc.
  • Collaborate with directors and department staff responsible for grant programming to ensure compliance with grant requirements, grant audits, expenditure reports and budget development.
  • Utilizes SchoolsOPEN financial system to monitor detailed award fiscal information including budget allocations, indirect costs, cost sharing information, financial reporting requirements, grant and contract core proposal and award data, document numbers and significant requirements relating to expenditures.
  • Serves an active role in the Genesee Area School Business Officials Association and Michigan School Business Officials
  • Prepares the Schedule of Expenditures for Federal Awards, SEFA, for the annual audit.
  • Reconciles all grants and supporting documentation for the annual audit and other schedules as needed.
  • Serves in special assignments in the district as designated by the Executive Director of Business and Finance.

QUALIFICATIONS:

The candidate selected for this assignment will be the one who offers the best combination of qualities in accordance with the following qualifications and requirements:

1. Bachelor’s degree with emphasis in accounting and/or business administration. Will consider experience in lieu of education.

2. A minimum of five years’ experience in a Michigan public school finance/business office preferred or previous fund accounting experience.

3. Previous experience in an accounting function role for a public school.

4. Previous experience with competitive and non-competitive grants.

5. Previous experience with local, state and federal grants.

6. Previous experience with preparing the Consolidated Application.

7. Knowledge of the Michigan Public Schools Accounting Manual (Bulletin 1022) preferred.

8. Advanced level computer skills using Microsoft Office and Google (emphasis on Excel) and other computerized finance systems.

9. Ability to work well with others in a fast-paced environment, handle multiple projects, establish priorities and resolve problems with minimal supervision.

10. Self-directed, organized and able to meet strict deadlines with accuracy.

11. Excellent communication skills, both written and oral.

12. Ability to maintain strict confidentiality.

13. Demonstrate responsible behavior, poise, professional loyalty, and flexibility.

14. Consistent focus on providing outstanding customer service to employees and administrators.

15. Other duties as assigned by immediate supervisor.

16. Punctual, regular, & consistent attendance is required.
