Function

The Office Clerk is responsible for performing various clerical functions and supports the department manager to handle day-to-day flow of sales office activities. Adheres to internal controls, policies and procedures.

Major Responsibilities:

  1. Responsible for receptionist duties including, but not limited to:
    1. Answering multi-line telephone system and fielding calls accordingly
    2. Takes and relays messages, provides information to caller. Ensures knowledge of staff movements in and out of the office.
    3. Greets persons entering the organization. Create a customer friendly environment by adhering to all policies regarding personal appearance and tidiness of the reception area.
    4. Daily office upkeep
  1. Responsible for general clerical duties including, but not limited to:
    1. Data entry, collating, filling and document retrieval
    2. Auditing information for accuracy
    3. Clerical assistance with pricing, billing and accounts payable
    4. Various other reconciling and clerical functions

  1. Assumes additional responsibilities as requested.

Education/Experience:

High School Diploma or equivalent with a minimum of 3 years of related receptionist and clerical experience.

Skills/Knowledge:

  • Excellent phone skills with the ability to offer highest quality of customer service
  • Customer Service attitude
  • Ability to multitask while answering telephones
  • High level of accuracy
  • Ability to be a fast learner and is open to change
  • Understanding of basic computerized software and accounting systems
  • Understanding of standard Microsoft Office programs (e-mail, excel, word)
  • Strong written and verbal communication skills
  • Proven ability to work independently as well as part of a team
