Overview:
Provides administrative support for Owner/Manager in a well-organized and timely manner. The Executive Secretary is responsible for greeting visitors, answering and directing phone calls, filing and retrieving records, managing construction accounting system, processing payroll and quarterly reporting, along with performing other administrative duties as assigned. Good listening and communication skills are essential to understand, follow instructions & complete work product accurately. Working hours are generally 8 am to 5 pm.

Major Duties Required:
Perform administrative activities with the ability to work under pressure, preserve confidential material and maintain a positive attitude.
Greet visitors, determine nature and purpose of visit and direct or escort them to specific destinations.
Operate multi-line telephone by answering, screening or forwarding calls, providing information, taking messages or scheduling appointments.
Sort, open and distribute correspondence, including mail, faxes and emails.
Strong knowledge of Microsoft Office, QuickBooks and the Internet are imperative.
Manage multiple electronic calendars; arrange appointments and provide reminders.
Maintain office systems, including record management and filing. Set up and prepare file folders and categories for new files. Purge and rotate files as necessary.
Type and proof a variety of materials, including correspondence, reports, executive summaries, briefing papers, policies and procedures.
Conduct research and present findings, as requested. Produce information by data entry, transcribing, formatting, editing, copying and transmitting text, data and graphics.
Coordinate and attend meetings as assigned; including scheduling, preparing materials and notices prior to meetings, documenting minutes, maintaining records and follow-up on actions taken.
Plan, prepare, organize and manage events and presentations.
Good composition skills and proper use of grammar.
Ability to meet commitments and deadlines.
Prepare vendor and payroll checks for review and signature.
Prepare bank reconciliations.
Anticipate office equipment and supply needs.
Maintain office supply inventory to ensure that stock is not depleted; place and expedite orders and verify receipts.
Ensure operation of office equipment; request routine maintenance and troubleshoot malfunctions, as necessary.
Education/Work Experience:
High school diploma or GED required. Two-year degree from a college/school or at least three years related experience and/or training preferred.
