Our busy, client-focused office needs a reliable, well-organized Office Manager to handle day-to-day operations with a focus on efficiency and time management. The Office Manager will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation. We’re looking for an energetic professional with an entrepreneurial mindset who doesn’t mind wearing multiple hats. This position will include advancement opportunities for the right candidate.
Responsibilities:
  • Oversee general office operation.
  • Greet visitors, answer a high volume of incoming phone calls, and deliver world-class service to our customers.
  • Coordinate appointments and meetings and manage staff calendars and schedules.
  • Supervise, mentor, train, and coach our office staff and delegates assignments to ensure maximum productivity.
  • Produce reports, compose correspondence, and draft new contracts.
  • Create presentations and other management-level reports.
  • Undertake accounting (AP/AR/bookkeeping) responsibilities.
  • Manage the social media channels of the company.
  • Develop organizational procedures and systems for office personnel, including filing, billing, accounts payable/receivable, payroll, and scheduling.
  • Improve employee and client retention rates through active communication and problem-solving efforts.
  • Continue education in management, organization, and team-building skills.
  • Manage employee schedules and troubleshoot scheduling conflicts as they arise.
  • Establish team atmosphere through leadership and employee development.
  • Keep management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Maintain office staff by recruiting, selecting, orienting, and training employees.
  • Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
  • Contributes to team effort by accomplishing related results as needed.
Qualifications:
  • B.A. or B.S. preferred.
  • Ten years of experience in office administration and five years as an Office Manager.
  • Excellent organizational skills.
  • Proficiency in Microsoft Office suite especially MS Excel and QuickBooks.
  • Experience with scheduling, AP, AR, budgeting, and payroll.
  • Advanced computer skills.
  • Excellent written and verbal communication skills.
  • Comfort with a fast-paced environment.
  • Bi-lingual English / Spanish preferred.
  • Must be available evenings/weekends as needed.
  • Have an entrepreneurial mindset and experience in a school of hard knocks.
