Position Summary:

Our firm manages nearly 1,000 part time subcontractors who perform work for the Social Security Administration (SSA). A Project Coordinator is responsible for working with SSA offices across the country and overseeing the processing of all applicants through suitability and credentialing.

Reporting to the Recruitment Manager, the Project Coordinator (PC) will need to be extremely well organized, able to work with multiple stakeholders, and able to work directly with the SSA Hearing Office management and staff members, as well as subcontractors. The PC will work under tight deadlines in a high-volume environment, and will exhibit excellent attention to detail and a familiarity with manipulating data and understanding the impact suitability and credentialing has on the SSA program as a whole. To ensure success, the PC needs to have demonstrated interpersonal and organizational skills, the ability to multi-task, an exemplary phone manner, and a desire to provide a high level of service for the client and staff.

This will be a remote position, but we are searching for candidates who live in either Massachusetts, Rhode Island or New Hampshire.

Key Responsibilities include but are not limited to the following:

  • Collect all necessary documentation and guide subcontractors through the suitability and credentialing processes
  • Send initial forms to subcontractors to initiate the suitability process
  • Utilize Podio to document actions taken and track data
  • Complete e-QIP process for each subcontractor, including fingerprint appointment coordination
  • Create and submit process and status reports, as requested
  • Adhere to existing procedures and processes
  • Monitor email inboxes and maintain active daily communications, both by phone and email
  • Notify POC if anything comes from Client that needs to be addressed by them
  • Work with and support the Project Manager and Assistant Project Managers to uphold all contractual requirements with the SSA
  • Issue and maintain annual compliance requirements and documentation for completion
  • Perform quality control on documentation received from prospective subcontractors
  • Systems management of candidate and subcontractor database including updating and inputting data
  • Suggestions for improving tracking and workflow as identified or needed

Qualifications:

  • Bachelor’s degree preferred (relevant experience may be considered in lieu of a BA)
  • Proficient with Microsoft Office Suite, and Adobe Acrobat
  • Minimum of 2 years of demonstrated Customer Service and administrative responsibility (e.g., call center, customer support)
  • Be able to work cross functionally with other project management teams
  • Extremely detail-oriented and well-organized
  • Able to accurately resolve issues in a timely manner
  • Ability to take initiative, work independently, and meet strict deadlines
  • Strong communication and customer service skills required (oral and written)
  • Excellent typing skills
