Admin Support Professional (Training Centers) - Missouri Army National Guard Facilities Division

Salary: $1,675.00 – $1,824.29 semi monthly

Job Location: This position will be located at Ike Skelton Training Center, Jefferson City, MO.

What you’ll do:

• Daily contacts with various vendors by email and telephone to obtain invoices or information regarding our accounts, Missouri Army National Guard unit personnel by email and telephone to answer any questions regarding the PRIDE system, answer questions regarding invoices and maintenance and repair problems.
• Enter and process incoming work orders In PRIDEWEB to track the location, cost, vendor Information and hours per work order. Enter correct AMSCO's and coding. Verify the work order has been through the correct audit process and is assigned to the correct Construction/Maintenance Worker. Prepare time and materials sheets assigned to Construction/Maintenance workers which tracks materials used, hours and cost per work order. Close out each work order in PRIDE when completed.
• Gather, reconcile, and prepare financial data pertaining to state and/or federal costs by each funding account. Maintain detailed checkbook for Training Center Maintenance which includes tracking accounting information for up to 19 different State and/or Federal budget accounts. Information includes region, location, vendor, AMSCO's, CATCODE's, funding accounts, purchase order number, purchase amounts and Invoice information. Determine which account should be charged or credited on purchase order requests. Examine expenditures for propriety and reasonableness. Examine Invoices prior to payment to determine the property of expenditure by comparing invoice price to purchase order or contract price, compare units invoiced to units received and charge the appropriate account.
• Responsible for maintaining liaison with the ISTS Facilities Resource Management office on accounting and coding matters dally. Responsible for using the correct funding accounts per AMSCO and CATCODE. Reconcile each month with the Resource Management office to verify that all obligated and liquidated amounts in each account balance accordingly. Assist the Training Centers Specialized Trades Manger in preparing financial data and preliminary budget estimates for fiscal year reports for Facility Maintenance budget meetings when requesting funds for each budget meeting for Training Center Maintenance,

All you need for success:

We are looking for a self-motivated person with practical experience in the budgeting and organizing purchase order number, purchase amounts and invoice information.

Minimum Qualifications

• Knowledge and use of hand tools
• Valid State Driver’s License
• Be able to pass a background check.

Preferred Qualifications

• High School Graduate
• Basic computer knowledge
