The Business Operations Unit exists to serve as CPW’s business professional liaison with the Office of Information Technology (OIT) for all CPW projects and services that have a technology component. This unit provides services to plan and manage the business operations side for all technology projects; provides representation and advocacy of CPW’s business needs and goals; coordinates with CPW staff and OIT staff in the management of the agency technology applications, infrastructure, support contracts, business data analysis; assists with, and maintains, CPW technical budgets, provides statewide field communications, coordination and support. These services are essential to CPW’s mission in managing Colorado’s wildlife and outdoor recreation resources now and in the future.
The Program Assistant is responsible for all administrative functions that support the Business Operations Unit. This position assists the Statewide Business Operations Coordinators in their daily duties. Specific duties include, but are not limited to:
Business Operations AdministrationQUOTES - Obtain hardware, software, renewals, yearly maintenance and office supply quotes
CORE - the State's enterprise financial system - Enter RQS’s for Office of Information Technology (OIT) and CPW purchasing approval, enter IN/RC for Purchase Order payments, enter GAX for payments, reconcile, receive, stock and confirm shipments, reconcile payments for vendors that are past due
US Bank - Code and allocate transactions for four (4) regional US Bank cards - Southwest (SW), Northwest (NW), Southeast (SE) and Northeast (NE), code and allocate transactions for the Statewide Business Operations Coordinator (SBOC) card
CHECKBOOK - Record purchases into TECH budget tracking checkbooks, record and allocate transactions from US Bank statement monthly
SARA SYSTEM- enter transactions and receipts into SARA for SBOC and regional purchases
CARS SYSTEM- Enter monthly mileage, maintain and schedule maintenance
OFFICE ADMINISTRATION - Assist the Business Operations Unit in daily duties, assist and coordinate SBOC and Commission meetings with staff and vendors, calls, scheduling, notes, recording and summaries
Asset Management and procurement
Adobe licensing - Manage licensing and associated user accounts for Adobe products
PC Purchasing/Inventory/ITAM/Surplus
Review, test and select new mobile computing devices for CPW staff as part of year to year replacement cycles.
Run database reports to determine how many computers we need to purchase for each fiscal year, request quotes from vendors for computers, monitors, network equipment, and other hardware, place and process PC orders, upgrades and special requests. Follow CPW’s 4 year replacement cycle, record inventory, assign computers to users, maintain and update inventory, allocate computers to OIT Desk Side for deployment and enter new computers into the IT Asset Management (ITAM) Database. Prepare computer equipment for surplus and submit into ITAM, record all equipment on Form 276, schedule and receive surplus from regional OIT reps, schedule pickup with State surplus and assist on pickup day, schedule hard drive shredding as needed
Printers - Coordinate with Integrated Document Solutions (IDS) on all printer requests, request printer quotes from IDS, request Integrated Document Solutions (IDS) forms, and submit the DocuSign print for home approval form to users, IDS Printer Approvals
Capital Asset Management - verify equipment in use over the $5000 threshold (yearly), notify Capital Asset surpluses equipment on all purchases over $5000.00
Loaner Laptops and air cards - Working with OIT maintain, update and allocate loaner inventory of laptops, maintain and allocate loaner projectors and loaner air cards
Other duties as assigned.
Minimum Qualifications
At least five years of experience in IT Office Administration or an occupational field related to the work assigned to the position.
Substitutions
  • Appropriate education in Business Administration or other field of study related to the duties of this position may substitute for the required experience on a year-for-year basis.
Preferred Qualifications
  • Current or former State experience relevant to this position
  • Demonstrated experience working with government agencies on grant and/or administrative programs
  • High level of written and oral communications
  • State parks or other outdoor recreation experience
  • Experience in public education, communication, or customer service.

 Conditions of Employment
  • State of Colorado residency is required at the time of application.
  • Must possess and maintain a valid state of Colorado driver's license if operating a State vehicle.
  • Minimal travel required
