The Department of Economic Security is seeking an experienced and highly motivated individual to join our team as a Fleet Assistant. The individual in this position performs administrative support for the management of a large and diverse fleet of approximately 800 vehicles and 300 vehicle stewards stationed throughout the State. Using fleet-specific software, this individual coordinate motor pool activities; expedites and maintains accurate and detailed records of all vehicles and related transactions; tracks pertinent data for each vehicle; and compiles various operational reports for management to ensure efficiency and excellent customer service.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meetings of expected performance measures.

Job Duties:

Essential Duties and Responsibilities include but are not limited to:
• Coordinates readiness and scheduling of motor pool assets, including receiving and dispatching reservations, reserving cars, and returning vehicles.
• Schedules, verifies, and tracks various preventative maintenance, service, and repair activities.
• Assists with collecting and maintaining Automobile Loss and Unusual Incident Reports, photographs, and estimates for all State vehicle accidents and incidents.
• Maintains, compiles, and evaluates content of fleet database and equipment files, including initial input, removals, and quality control for further analysis by Administrator.
• Monitors vehicle usage and communicates with vehicle stewards to raise fleet utilization and asset reallocation.
• Monitors and maintains telematic (GPS) platform used on fleet equipment, including collecting, reporting, and creating alerts around critical safety metrics. Builds reports to access and track critical data for Administrator.
• Assists with fleet procurement, maintains vendor and quote files, and enters requisitions and receivers in Arizona Procurement Portal (APP).
• Assists Fleet Services Officer with Fuel Card, such as driver support, purchase controls, re-setting cards, maintenance, fraud alerts, and driver fuel card policies.
• Assists the Administrator with disposal and auction sale of used equipment.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
• DES policies, as well as applicable local, State, and Federal laws pertaining to vehicle compliance.
• Implementation of telematics programs.
• Applicable safety practices, including accident reporting and follow up procedures.
Skills in:
• Business applications such as Fleet Focus and Arizona Procurement Portal (APP).
• Written, verbal, and interpersonal communications.
• Service and/or work order processing, technical document handling, and data management.
Ability to:
• Individual must have the ability to read and interpret documents, such as safety rules and procedural manuals.
• Synthesize complex and diverse information; respond to common inquiries or complaints from customers, regulatory agencies, or members of the community.
• Work independently and seek resolutions from available resources.

Selective Preference(s):

The ideal candidate for this position will have:
• Three years responsible administrative experience; or Bachelor's degree in a field appropriate to the assignment from an accredited college or university and two years responsible administrative experience.

Pre-Employment Requirements:

• If this position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply: Driver’s License Requirements. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
• Successfully pass background and reference check; employment is contingent upon completion of the above-mentioned process and the Agency’s ability to reasonably accommodate any restrictions.
• All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).

Retirement:

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
