Summary

This position oversees the full cycle accounts payable duties, which is responsible for activities and operations in the accounts payable function of the organization. This position oversees three Accounts Payable Clerk II positions, the accurate coding of invoices and inputting accounts payable entries to the accounting software system and resolves all AP issues in a timely manner. This position accomplishes department objectives by leading staff and organizing and monitoring work.

Essential Functions

•Analyzes invoices/credit memos and expense reports for accuracy and eligibility for payment for two non-profits and six limited partnerships.

•Leads three Accounts Payable Clerk II positions. 

•Ensures timely payments of vendor invoices and expense vouchers; maintains accurate financial records and control reports. Prepare accounts payable payments via ACH and/or checks on a weekly basis or as needed.

•Prepares accounts payable register and related reports, monitors AP aging and resolves issues in a timely manner. 

•Assists limited partnerships and their vendors regarding payments and oversees collection and payment of credit card purchases.

•Assists with month end duties and entries.

•Prepare year-end 1099s.

•Provide the grants fiscal team with copies of cleared checks for their claim reports.

•Prepare W9s and ACH bank information, verify TIN, and updating as necessary.

•Completes consolidated billing allocations which involve the non-profits and limited partnerships - utilities, cell phone, insurance, etc. for entry

•Establish, set-up and/or transfer utilities for new and/or renovated properties, plus thrift stores.

•Assist monthly the property management invoices for reimbursement which includes payroll, health insurance, management fees, reimbursable costs, etc.

•Email Notices received from government agencies to the appropriate staff of the non-profits and limited partnerships are complying – elevator violations, revocation letters for false fire alarms, annual backflow testing, violations for graffiti, self-monitoring forms, SDGE planned power outages, etc.

•Attends interviews, conducts trainings, assigns tasks, and monitors work performance. Assists with writing and delivering performance appraisals. Recommends and monitors disciplinary action. Retains a high performing, accountable workforce. 

•Contributes to the development of processes and procedures and monitors internal controls.

•Organizes workflow and ensures that employees understand their duties or delegated tasks.

•Serves as contact for resolving complicated billing issues and builds solid relationships across all units at various accounting levels, program staff, and contracted property management company for the limited partnership.

Qualifications

•Associate degree in accounting or equivalent experience.

•At least 4 years accounts payable experience.

•Basic user of MS Office; NetSuite experience a plus.

•Detail oriented and organized.

•Time management and workload efficiency skills.

•Participate in an annual Tuberculosis screening and/or other screenings when necessary.

•Resourcefulness, initiative, and the ability to work with minimal direction and supervision.
