St. Augustine College is Hiring a Business & Administrative Services Manager (IWE) Near Chicago, IL
Job Purpose:
Manages and executes all Institute for Workforce Education’s (IWE) business and financial transactions including purchasing, accounts payables, accounts receivables, payroll, forecasting, grant management and compliance oversight, program development, and auditing among others. Supervises support staff and interfaces with the college’s business and other departments.
Duties:
Oversees the purchasing of services and goods following IWE and St. Augustine College procurement processes and procedures.
Issues invoices for services rendered and ensures the timely collection of monies owed to the Institute.
Processes vendor payments following Institute and St. Augustine College accounts payables processes and procedures.
Interfaces with College’s payroll department to ensure the timely and correct processing of payroll for Institute’s staff.
Manages Institute’s forecasting and deployment system.
Manages Institute’s training grants and client grants according to grantor and client requirements.
Inputs all business transactions into Institute’s accounting software and keys in transactions into College’s accounting software as required.
Prepares monthly, quarterly, and annual financial reports following financial and accounting best practices.
Prepares, in conjunction with Executive Director for Workforce Development, IWE’s annual budget and monitors and manages its execution.
Reconciles Institute’s payroll accounts, accounts receivables and payables, and other asset/liability accounts on a monthly, quarterly, and annual basis.
Ensures smooth completion of annual audit through detailed preparation and recordkeeping including the reconciliation of grant payables and receivables.
Reviews and explains budget (grant and enterprise) variance as part of audits.
Maintains accurate and complete financial, grant and other records.
Hires, trains, and supervises support staff to perform required daily tasks.
Interfaces with Institute’s managers to ensure that the proper contractual and procurement documentation is used and collected for each training and consulting engagement.
Interfaces with St. Augustine College’s Finance Department to execute business transactions.
Interfaces with clients, vendors, grantors, and staff as it relates to all Institute business affairs.
Performs other duties as assigned.
Skills/Qualifications:
Intermediate to advanced skills in Microsoft Word, Excel, PowerPoint, Access, Outlook, PowerPoint, Microsoft Accounting and/or QuickBooks, and/or other accounting software.
Ability to cultivate and maintain relationships with colleagues, vendors, clients, and grantors.
Self-directed and innovative, and able to assess current operations to improve them. Ability to meet deadlines in a timely manner and to work under pressure with multiple projects and tasks.
Experience managing several projects at a time making sure that deadlines are kept.
Should have excellent written and verbal communication skills.
