Position: Manager, Delegation Readiness

Department: Games & Competition

Supervisor: Director, Delegation Operations

Description:

The Delegation Readiness Manager will play a critical role in the preparation of delegations for their best experiences and performances at Special Olympics World Games held every two years and at other SOI global competitions.

The manager will be responsible for developing, implementing, and managing resources and materials to train Special Olympics Programs to prepare their delegations for participation in global competitions. This position will ensure consistent and high-quality training and compliance with SOI standards, policies, and rules. In addition, this position will lead the evaluation and analysis of delegation performances at the competitions and create visual and narrative reports of the results.

This position will also be involved in supporting delegation services operations at World Games and other SOI global competitions with the Director of the delegation operations team. This includes, but is not limited to, supporting the delegation registration process, preparing status update reports, reviewing delegation communications and Head of Delegation (HOD) manuals, reviewing technical manuals and operational plans, conducting delegation performance reviews, and other areas as required.

This position will work collaboratively with the registration manager to ensure smooth delegation registration process for the World Games and other SOI global competitions.

Responsibilities:

  • Develop training materials for SO Program leadership and delegation managers, and track, manage, and maintain relations with key support staff from the seven SOI regional offices (Africa, Asia Pacific, East Asia, Europe/Eurasia, Latin America, Middle East/North Africa, and North America).
  • Develop evaluation surveys to identify and analyze delegation performance at every event and manage the successful implementation of the surveys.
  • Compile delegation performance reports, create final narrative and visual assessment of the results, present results to SOI Leadership and Regions, and directly follow-up with Regions and Programs as needed.
  • Prior to each event, create HOD readiness training materials by evaluating previous events’ materials and updating as needed.
  • Publish HOD readiness training materials to the digital system and manage the implementation of the system.
  • Track completeness of HOD readiness training by SO programs, create regular reports, and follow-up with SOI Regions to ensure compliance with the training.
  • Manage the translation process of HOD readiness training materials and serve as the liaison to the SOI translation owner.
  • Support the review process of communication materials to delegations (i.e. Delegation Webinar presentations, Delegation Newsletters, HOD Manuals) by collecting feedback from SO functional area leads and providing feedback to the LOC.
  • Support the delegation registration process led by the registration manager.
  • Support the LOC’s operation of delegation services on-site during the events.

Qualifications:

  • 3 years' professional experience in international sport events or similar fields
  • College degree in sport/event management, or related field is preferred (or equivalent experience)
  • Proficiency in Microsoft Office suite and basic data analysis skill (Excel, Power BI, Tableau, etc.)
  • Excellent oral and written communication skills in English
  • Ability to work effectively in a team environment as well as independently
  • Excellent time management skills to prioritize and complete assignments and be flexible working with colleagues in different time zones
  • Ability to travel internationally
  • International experiences and understanding of cultural sensitivities
  • Passion for Inclusivity
  • Customer relationship management experience will be plus
  • Any extra language is an added value
  • Able to work in a fast-paced environment
