We are looking for an Administrative Office Manager that is self-motivated, honest, and responsible. Two years or more experience is preferred, minimum on year experience required. 

TITLE: Administrative Office Manager

RESPONSIBLE TO: Managing Director

SUPERVISES: Occasional direct reports may include contracted vendors or part-time contractors

PURPOSE OF POSITION: To provide administrative, scheduling and logistical support to the businesses clients, employees and administrative team

DUTIES & RESPONSIBILITIES:

Administrative

  • Expertly create and adjust schedules, book appointments and arrange meetings
  • Resolving scheduling conflicts and handling last-minute changes or cancellations and inform appointment attendees
  • Leverage software programs to develop crucial presentations, memos, letters, spreadsheets and reports
  • Resourcefully manage complex office situations with discretion and confidence
  • Maintain databases and paper or electronic filing systems to keep accurate records
  • Create documents of scheduling processes and update records
  • Calculate various cost and performance metrics
  • Ensuring efficient and effective time management for optimal productivity

Confidentiality

  • Keep safe all private/confidential customer and employee information

Communication

  • Communicate effectively with internal and external clients, answering and directing emails and phone calls in a polite and timely
  • Communicating with staff, clients, or other stakeholders to determine scheduling needs and preferences 
  • Respond to e-mails and phone calls relating to meetings and appointments
  • Provide updates and reminders to staff

Marketing

  • Assist with Social Media marketing correspondence, answering questions and helping set up new client accounts

Professionally representing the company

  • Conduct yourself with professionalism both in how you dress and how you communicate

Project Management

  • Initiate, plan, execute, monitor, control and close all of your projects in a streamlined and efficient manner 
  • Make arrangements for meeting venues and assist in planning and managing events

Procurement of supplies

  • Maintain inventory and procure needed supplies to maintain stock

Work Location

  • Office is currently located in Port Orchard but will be moving to Silverdale/Poulsbo by July, 2024
  • Working remotely is available at times once training is complete

Schedule

  • Monday to Friday
  • 7:00am-4:00pm

Salary

  • $44-55K per year based on experience

Benefits

  • 5 days paid sick leave
  • 5 days paid time-off for full-time employees (with and additional day for each year you are with the company, up to 3 weeks paid leave)
  • 3 paid holidays a year (Memorial Day, Labor Day, Thanksgiving)
  • 3 unpaid holidays a year (New Years, July 4th, Christmas)

Experience

  • 2-3 years previous administrative experience
