Pay Range : $25.00 - $27.81

Key Essential Functions and Accountabilities of the Job

Provides and assures continuous provision of timely, accurate, professional, and courteous administrative support to the Director of Finance.

Maintains the division calendar.

Schedules and coordinates meetings, travel, and / or conference arrangements, and resolves conflicting demands.

Schedules meetings, prepares agendas, and sets up audio and visual equipment. Takes and prepares minutes as needed.

Organizes and maintains files.

Produces, proofreads, and edits documents and presentation materials using broad-based computer software utilization skills.

Provides project support as requested.

Screens, directs, and responds to incoming calls and inquiries.

Processes payment invoices and manages purchasing cards.

Collaborates as a team member with other departments and their assistants.

Interfaces with internal / external contacts requiring considerable discretion and initiative.

Performs other duties necessary to provide a smooth and effective administrative function.

Additional Details :

Education, Certifications, and Licenses Required

Bachelor’s degree preferred. Relevant work experience can be substituted.

Experience Required

2 years’ office experience working as an assistant or equivalent position demonstrating an understanding of advanced office functions including computer word processing and spreadsheet applications.

2 years’ experience working in a hospital or similar health care setting demonstrating a strong understanding of the health care system.

Knowledge of

Advanced knowledge of computer word-processing applications.

Knowledge of computer and spreadsheet applications.

Knowledge of customer service principles and processes.

Skills in

Strong organizational and analytical skills.

Strong interpersonal skills.

Excellent oral and written communication skills

Ability to

Ability to perform multiple complex administrative processes simultaneously, independently, and with a high degree of confidentiality.

Ability to communicate in a clear, concise, and effective manner both in written form and orally.

Ability to analyze problems and propose logical solutions while maintaining confidentiality of information and processes.

Time management and multitasking skills.

Ability to work with customers during routine and emergency situations.

Ability to work independently with little supervision and generally carry out detailed verbal and written instructions.
