POSITION DESCRIPTION

Program Operations and Office Support

Reports to: Program Operations Supervisor

Direct Reports: N/A

Base Office Location: Lakewood, CO

About the position: The Program Operations Support at Sources of Strength is instrumental in supporting the reach, impact, and fidelity of the Secondary Program and the Operations Department. The Program Operations Support will support secondary implementation specifically through email and phone call communications, material data entry, calendar management, and Denver Office management. The Program Operations Support position is responsible for supporting the pre-training and post-training phases of our customer journey, which is vital for the success of every single training we deliver.

Additional focuses of this role include serving as the support contact for the Sources of Strength warehouse, attending weekly meetings with the warehouse, and keeping an eye on materials inventory and product reordering. The Program Operations Support will be at the Denver Office at least two days per week to complete general office tasks, and materials management and provide support to the Staff Accountant as needed.

The Program Operations Support will report to the Program Operations Supervisor position. This will include weekly 1:1 meetings covering questions in relation to your day-to-day work. There will also be a mandatory weekly Operations Team meeting every Wednesday on Zoom. 

This position requires consistent, clear, and effective communication with customers, the warehouse, and the Sources of Strength Program Operations, Elementary, and Secondary teams.

This role may require up to 10 percent travel for meetings and events. 

Qualifications:

  • Interest and/or skills in audio/visual equipment, presentation software, and workplace software (Slack, Airtable, Google Suite, etc.).
  • Strong organizational, leadership, and presentation skills.
  • Strong oral and written communication skills.
  • Ability to work collaboratively and manage multiple projects with varying timelines.

Key responsibilities:

  • Support pre and post phases of T4T, Secondary, and occasionally Elementary Trainings (ie, emails, certifications, and material tracking).
  • Manage the Hello@sourcesofstrength.org email inbox and connect people to the right Sources of Strength person(s) on staff.
  • Attend and contribute to weekly meeting with the Operations Team.
  • Airtable maintenance and data entry pre and post trainings.
  • Google Calendar training entries and information management.
  • Denver Office support, including car maintenance, purchasing supplies, and assisting with in-person meetings and events.
  • Staff Accountant support tasks including picking up mail, assisting with deposits, etc.
  • Inventory, tracking and reporting of materials. 
  • Attend initial internal T4T team planning meetings and help with action items coming out of those meetings.
  • Participate on the Virtual T4T Training team when available, and attend at least one in-person T4T and Adult Advisor/Peer Leader Training.

Objectives and accountabilities:

  • Serve as a support contact for Secondary program implementation, and the Sources of Strength warehouse. 
  • Support the maintenance of clean secondary data in Sources of Strength AirTable(s).
  • Collaborate consistently with the Operations and Secondary Departments.
  • Ensure ongoing awareness, understanding, and expertise of all Sources of Strength Secondary support updates, products, and resources related to this position.
  • Complete all necessary administrative tasks including expense reports, timesheets, and any reports accurately and on time.
  • Attend regular staff meetings, wellness, and professional development days, supervisory meetings with supervisor, and staff retreats and communicate with supervisor when unable to attend.
  • Contribute to the overall growth and success of the organization.
  • Pursue wellness in your own life by cultivating regular practices around mental health, wellbeing, and resilience.
  • Contribute to creating an equitable and inclusive environment internally and externally by honoring the dignity of others, embracing curiosity over fear, communicating respectfully, and committing to a growth mindset in personal development.

Physical requirements:

  • Strongly encouraged to be fully vaccinated and boosted for COVID-19.
  • Continuously required to sit/stand.
  • Occasionally required to walk, bend, stoop, push/pull, and reach above.
  • Occasionally required to lift and carry 10 to 50 pounds.

Salary range:

$50,000 - $65,000
