Job description

POSITION : Office Administrator

SMC Construction, Inc. is an established remodel construction company seeking a full-time office administrator. We are looking for a customer focused individual that can thrive in a fast-paced office.

KEY COMPONENTS

Answering phones

Scanning files to an electronic filing system

Scheduling appointments and maintaining calendars

Data entry

Manage social media & constant contact

KNOWLEDGE, SKILLS, ABILITIES

Skills Needed : High School Diploma

High School Diploma

2 plus years professional office setting experience (Construction Preferred)

Excellent organizational skills

Superb written and verbal communication

Exceptional customer service skills

Ability to work independently

Strong proficiency in Microsoft Excel, Word, and QuickBooks online

A background or knowledge of construction industry and Builder Trend construction software a plus

Requirements :

Organized and detail oriented

Independent self-starter

Responsible

Flexible

COMPENSATION / BENEFITS

$17 - $25 based on experience

Office Administrator Job Duties

Answering phones & Correspondence

Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries

May recruit, interview, hire, and train junior administrative staff in the department.

Maintains customer confidence and protects operations by keeping information confidential

Oversee incoming leads via phone, social media, internet, and other platforms, ensuring follow up with all contacts

Communicate with clients on project status, updates and BuilderTrend set account set up

Communicate with subcontractors and project managers

Acting as the point of contact among executives, employees, clients and other external partners

Managing information flow in a timely and accurate manner

Performs additional duties as assigned by executives.

Work with other departments, sale, productions, project management to oversee and assist projects and lend a helping hand as needed to a successful completion and or resolutions

Marketing / Branding

Social media updates and maintenance

Develop content to promote SMC Construction via social media, print marketing, email marketing, and email outreach to potential new clients.

Attend industry events and training ( As needed)

Scanning files to an electronic filing system

Maintain subcontractor Certificate of Insurance and W9’s

Scan documents to google drive folders customer and vendor

File company paperwork (contracts, vendor invoices, insurance policies, etc.)

Scheduling appointments and maintaining calendars

Maintain calendar appointments for sales team

Maintain Builder Trend leads, sales, and job conversion

Maintain Builder Trend and QuickBooks sales and change orders

Organize special events customer and vendor appreciation / OSHA Training, Toys for Tots, etc.

Maintain calendar appointments for sales team

Data entry

Enter Accounts Payable transactions

Enter vendor and sub-contractor invoices

Enter purchase receipts

Invoicing and budgeting

Project accounting help with estimates, cost control and client billing

Rack daily expenses and prepare weekly, monthly or quarterly reports

Format information for internal and external communication memos, emails, presentations, reports

Pay : $17.00 - $22.00 per hour
