This team member will be responsible for all office management duties included but not limited to:
General ledger accounting, AP, AR, QuickBooks online Plus, running payroll (Paychex Flex) managing and sending out client invoicing for payments, client time billing, scheduling appointments and helping manage calendar events, assisting with office related tasks including managing office supply needs, printing, and shipping.
Accounting Duties:
· Accounts Payable – for client projects and office vendors
· Client Budgets and Retainer Accounts tracking
· Accounts Receivable – monthly time billing and periodic project billing, manage clients billing questions.
· Credit card management – payments and data entry
· Cash accounts management – deposits and data entry
· Pull data from proprietary software for reporting and analysis purposes, create custom Excel spreadsheets.
· Balance and maintain accurate General Ledger· Prepare monthly financials, Balance Sheet and Income Statement for accuracy.
· Work with external bookkeeper & CPA to ensure timely filing of all governmental reporting
Administrative Affairs:
· Initiate and manage new client set-up
· Manage office supplies and purchasing
· Business licenses and insurance management
· Manage subscriptions and affiliations
· Assist office staff as needed
· Coordinate weekly staff meeting
· Job Types: Part-time 2-4 days per week (varies)

Education:
High school or equivalent
Experience:
QuickBooks or comparable accounting software experience (Required)
Microsoft Office: proficiency (Required)
Administrative experience: 3 years (Required)
Responsibilities and Duties:
· Oversee day-to-day office procedures
· Interface with clients, vendors, and contractors
· Keep detailed billing schedules and calendars on multiple projects
· Assist design team on all projects
