Shapco Inc is Hiring an Office Assistant Near Grand Island, NE

Role and Responsibilities

The Office Assistant for our Grand Island, NE facility will assist, and coordinate activities related to the overall administration of the front office. The Office Assistant will be responsible for the handling of some production paperwork, new hire orientation, safety orientation, and invoicing to corporate office. This position may also assist the Human Resource Dept., when necessary, NOT to include employee’s confidential information. The essential duties and responsibilities include, but are not limited to: 

  • Proficient with Microsoft Office software programs including Outlook, Word, and Excel.
  • Ability to answer multi-telephone calls and transfer calls to correspondent personnel, as needed.
  • Greet all customers and vendors with professionalism and assist them accordingly to their visit.
  • Ability to work well with people and verbally communicate in a professional manner.
  • Submit the weekly billing and invoicing reports to corporate accounting department, as required.
  • Coordinate and assist the HRBP with the safety videos/paperwork for all new hires as required and ensure the recordkeeping of employee’s signage/documentation and submit to HR.
  • Provide administration site support to all employees, including the GI Management team. 
  • Assume responsibility for ensuring the duties of this position are performed in a safe and efficient manner. 
  • Assist with shipping/receiving and scheduling freight for product.
  • Ordering office supplies
  • Responsible for office event planning, ordering groceries for breakrooms, ordering toiletries, and supplies.
  • Assist with ordering uniforms for staff. 
  • Assist with new hire orientation and onboarding.
  • Assist with missed punch report signatures.
  • Perform other duties that may be assigned by the Leadership team. 

Qualifications and Education Requirements

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. 
  • Minimum 2 years’ experience required in an Office Administrative role with some safety knowledge. 
  • High School diploma or GED required. Adequate work experience may be substituted in lieu of diploma or GED. 

Preferred Skills

  • Proficient in Microsoft Office software programs including Outlook, Word, and Excel. 
  • Bilingual English and Spanish
  • Familiarity with HR policies and safety rules.
  • Ability to prioritize and multitask effectively.
  • Ability to work well with others, be organized and detail oriented.
  • Strong interpersonal and communication skills. 

Additional Notes

  • Satisfactory pre-employment drug testing is required. 
  • All applicants shall be authorized to work in the U.S.

COMPENSATION AND BENEFITS

  • After 30 days of employment, employee is eligible for company benefits including medical, dental, vision, other voluntary benefits and 401(k).
  • Vacation and sick pay accruals can be used, once eligible.
