Job Title: Accounts Payable and Receivable Manager

Job Summary:

The Accounts Payable and Receivable Manager oversees the financial transactions of an organization, ensuring accuracy, efficiency, and compliance with company policies and procedures. They manage the accounts payable and accounts receivable departments, coordinating with internal teams and external stakeholders to facilitate timely payments and collections. The role requires strong leadership skills, financial acumen, and attention to detail to maintain the financial health of the organization. You will be responsible for overseeing the daily administrative and operational activities of our office. You will play a crucial role in maintaining an efficient and organized work environment to support the productivity of our team.

Responsibilities:

1. Accounts Payable Management:

- Manage the accounts payables to ensure accurate and timely processing of invoices, expense reports, and payments.

- Review and approve payment batches, ensuring adherence to budgetary constraints and authorization policies.

- Maintain vendor relationships, including resolving discrepancies, negotiating payment terms, and managing vendor inquiries.

2. Accounts Receivable Management:

- Oversee the accounts receivable function, including invoicing, credit memos, and collections processes.

- Monitor aging reports and follow up on overdue accounts to minimize outstanding receivables and mitigate credit risks.

- Collaborate with sales and customer service teams to address billing inquiries and resolve disputes promptly.

3. Financial Reporting and Analysis:

- Prepare monthly, quarterly, and annual financial reports related to accounts payable, accounts receivable, and cash flow.

- Analyze financial data to identify trends, variances, and opportunities for process improvements or cost savings.

- Provide insights and recommendations to senior management for decision-making and strategic planning.

-Report proper sales tax to appropriate agencies.

-Take sales call and create estimates, working with the sales team and designer.

4. Compliance and Internal Controls:

- Ensure compliance with accounting principles, regulatory requirements, and internal control standards.

- Develop and enforce policies and procedures to safeguard assets, prevent fraud, and maintain data integrity.

- Liaise with auditors during financial audits and assist in the resolution of audit findings and recommendations.

5. Administrative Support:

- Manage incoming and outgoing correspondence, including emails, letters, and packages.

- Coordinate office activities and operations to ensure efficiency and compliance with company policies.

- Maintain office supplies inventory and order supplies as needed.

- Assist in the preparation of reports, presentations, and other documents as required.

6. Facilities Management:

- Oversee the maintenance and repair of office equipment and facilities.

- Ensure the cleanliness and organization of the office space.

- Coordinate with external vendors for services such as cleaning, maintenance, and repairs.

- Address any facility-related issues promptly to minimize disruptions.

7. Human Resources Support:

- Assist in the recruitment process by scheduling interviews, coordinating candidate communication, and maintaining recruitment records.

- Onboard new employees by providing orientation and training on office procedures and policies.

- Maintain employee records and ensure compliance with HR policies and regulations.

- Coordinate employee events, celebrations, and other morale-boosting activities.

8. Financial Administration:

- Assist in budget preparation and expense tracking.

- Process invoices, expense reports, and reimbursements in a timely manner.

- Maintain accurate records of financial transactions and expenses.

9. *Communication and Coordination:

- Serve as a point of contact for internal and external stakeholders, including clients, vendors, and visitors.

- Communicate effectively with team members to ensure clarity and alignment on office-related matters.

- Facilitate communication between departments to foster collaboration and teamwork.

Qualifications:

- Bachelor's degree in accounting, finance, or related field preferred.

- Proven experience in accounts payable, accounts receivable, or similar financial roles, with at least 2 years in a managerial capacity.

- Strong knowledge of accounting principles, financial reporting standards, and internal controls.

- Proficiency in accounting software QuickBooks, and Microsoft Excel.

- Excellent communication skills, both written and verbal, with the ability to interact effectively with stakeholders at all levels.

- Analytical mindset with problem-solving abilities and attention to detail.

- Leadership qualities with the ability to motivate, coach, and develop a team.

- Ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a dynamic environment.

- Knowledge of basic accounting principles and experience with financial administration.

Job Type: Full-time

Pay: From $30.00 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday
  • No nights
  • No weekends

Supplemental pay types:

  • Bonus opportunities
