About the Role:

The Office Manager plays an integral role in supporting the success of the business by providing a variety of administrative services to our office in addition to Executive Leadership support. The role oversees the administration and facilities support of the office, ensuring the office environment is maintained in an orderly state, properly equipped with assets and materials enabling staff and visitors to have an efficient, energizing, and comfortable place to work. It also supports our Executive Leadership group to operate efficiently and effectively through exceptional administrative support. This role is based in the office full-time.


Responsibilities:

Office Management

  • Greet visitors, following all building and office protocol for safety and security
  • Liaise with Building Management and Security to register new staff members and visitors
  • Issue and manage badges, passes, door codes, parking validation, etc. as needed for employees and visitors
  • Support the Washington DC office leader to drive an exceptional in-office work environment for our people
  • Arrange logistics and travel support for visitors
  • Receive and sort daily mail
  • Maintain the office in an orderly and clean state throughout, ensure it is properly equipped, that all assets are properly functioning, and that materials and services are efficiently used and within budget
  • Manage relationship with building or property management, administration of office lease, maintenance agreements and contracts
  • Coordinate with property management for repairs and issues. Serve as local environmental champion, identifying and implementing carbon footprint reduction measures
  • Responsible for management and tracking for all non-IT office equipment and assets
  • Manage relationships and accounts with all office related vendors, suppliers, service providers, seeking volume pricing where possible in coordination with Office Manager counterparts across the business
  • Manage relationship with building or property management, administration of office lease, maintenance agreements and contracts
  • Coordinate with property management for repairs and issues. Serve as local environmental champion, identifying and implementing carbon footprint reduction measures


Executive Assistance

  • Deliver exceptional in-person and virtual administrative support and customer service in a team-based environment; adapt methods and behaviors to effectively engage and accommodate executives’ styles and preferences, understanding their characteristics, strengths, weaknesses and what is needed.
  • Plan, manage, and coordinate time to accommodate executive requests and schedules; demonstrate exceptional judgment to adjust and flex hours, and address requests with a sense of urgency.
  • On a regular basis, manage sensitive and confidential information appropriately and with a high level of discretion.
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Arrange executive travel as needed


Required Qualifications:

  • 5-7 years of experience as an Office Manager/Admin Assistant

  • Proficiency in Microsoft Office Suite

  • Excellent Organizational Skills
  • Multitasking and time management skills, with the ability to prioritize tasks

Desired Qualifications:

  • Bachelor’s degree in business administration, event management, hospitality, or related field
