Role Description

With a focus on residential and commercial sales, we target homeowners, property and facility managers, municipalities, mixed-use, and venues in hospitality.

We are looking for a team member who is an energetic, hardworking individual with a positive and self-starting attitude to fill our role of Office Manager - Bookkeeper & Administrative Support. This role will require significant organizational skills as well as the flexibility to support many members of our team at once.

The team member in the role of Office Manager will assist in keeping the show running with excellent communication and collaboration skills. This individual will have the ability to prioritize many different tasks and help to support the financial goals of the organization. The ideal candidate has a strong background in finance and bookkeeping.

Role Responsibilities

  • Organize office operations and procedures, coordinate technical support and other services, and contribute to overall operational efficiency.
  • Efficient Accounts Payable Processing: Actively explore ways to save money and improve value from current and new vendors. Accurate recording and processing of vendor invoices and payments. Resolved billing discrepancies and maintained positive vendor relationships.
  • Comprehensive Financial Reporting: Regular financial reports provided to management and owner, highlighting key metrics and financial performance. Timely analysis of financial data to support decision-making.
  • Accurate data entry and reconciliation of financial transactions.
  • Support HR functions such as onboarding new employees, maintaining employee records, PTO tracking and managing employee benefits.
  • Processing payroll on a weekly basis with an external payroll provider.
  • Assist in preparations for annual audits of business insurance

Experience

  • MUST: 3 years of experience as a bookkeeper, preferably in a construction or similar industry
  • MUST: Proficiency in QuickBooks, as well as Microsoft Excel or Google Sheets.
  • MUST: Detail oriented with excellent customer service, written, and verbal communication skills
  • MUST: Strong understanding of accounting principles and practices.
  • MUST: Ability to maintain confidentiality of sensitive documents and information
  • MUST: Have a valid driver's license and the ability to drive
  • MUST: Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • PLUS: Quickbooks Online Certified or Pro Advisor
  • PLUS: Bachelor’s degree in Accounting, Finance or Business Administration

Job Types: Full-time, Part-time

Pay: $55,000.00 - $80,000.00 per year

Expected hours: 30 – 40 per week
