Position Title: Communications & Alumni Relations Specialist
Position Type: Regular
Salary Range:
$58,520 -$67,260, commensurate with experience
Pay Frequency: Annual A. POSITION PURPOSE This position, which reports directly to the Director of Marketing and Communications and with a dotted line to the Director of Corporate and External Relations, helps define, create, and implement a vision for School of Engineering communications and alumni relations through the establishment and development of communications, marketing collateral, outreach materials, and event planning. These activities are critical to the School's efforts to market its programs, recruit and retain undergraduate and graduate students and faculty, develop a strong alumni base, develop and maintain internal and external partnerships, and raise funds to support the School. They also are integral to the branding and marketing
of Santa Clara University as an institution of distinction in Jesuit higher education.
B. ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Provide internal and external comprehensive communications support for the School of Engineering. (75%)
a. Working with the Director of Marketing and Communications, help define, develop, implement, manage and affect a comprehensive communications plan for the School of Engineering.
b. Develop, implement, manage and affect strategies for new and existing tools to support the communication plan and to advance the goals of both the School and the University.
c. Advance School initiatives and goals via effective communication vehicles, identifying, writing, and editing material, including School and University publications, web page content, dean's communications and presentations, reports to provost, president, and Trustees, etc., and assist with undergraduate and graduate recruitment efforts.
d. Manage, write, and edit regular internal and external communications, including the Weekly Buzz, scripts for events, the Five10 Report, eNewsletter, website articles, Appeals content, and other internally and externally focused stories, and general editing of ABET materials, the Grad Bulletin, and Dean's communications.
e. Help to develop and implement a strategy for increasing the School's visibility for national rankings.
2. Develop and implement a strategy for alumni engagement. (25%)
a. In collaboration with the Director of Corporate External Relations and University Relations personnel, develop and implement a strategy for alumni engagement, including developing and creating web and email content to support fundraising efforts.
b. Plan, promote, and execute alumni engaging School events such as Grand Reunion "Big Bash!", the Senior Design Conference, and others as required.
c. Manage Alumni Awards, including the selection process, awards, dinner and celebration, etc.
d. Manage updates and queries from CLARA, the University database for School personnel requiring alumni email or address lists.
e. Order of Engineers ceremony event coordination and execution, as well as related communications.
C. PROVIDES WORK DIRECTION May supervise student employees, as needed.
D. GENERAL GUIDELINES 1. Recommends initiatives and implements changes to improve quality and services.
2. Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.
3. Maintains contact with customers and solicits feedback for improved services.
4. Maximizes productivity through use of appropriate tools; planned training and performance initiatives.
5. Researches and develops resources that create timely and efficient workflow.
6. Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions.
7. Prepares and submits reports as requested and required.
8. Develops and implements guidelines to support the functions of the unit.

Experience in an academic environment, preferred.
Proficiency with PCs, especially word processing, spreadsheets, and presentation software are essential (preferably Microsoft Word, Excel, and PowerPoint).
Experience with Google Mail, preferred.
Working knowledge of logistical requirements for successful events, preferred.
Working knowledge of contractual agreements required for events, preferred.
Working knowledge of the latest technologies employed for successful events, preferred.

Bachelor's Degree required in communications related field preferred. 5.Years of Experience
Three or more years of related communications experience required or equivalent combination of education and experiences.
