The nonprofit San Francisco Campus for Jewish Living serves a significant number of patients and long-term care/skilled nursing residents each year in its Jewish Home & Rehab Center. Non-residential care is offered through our short-term and rehabilitation services unit for patients who require specialized interdisciplinary rehabilitation to recover from surgery or an acute illness, and through our acute geriatric psychiatry hospital. As a CMS five-star rated for quality measures and staffing, and with a complement of close to 650 compassionate, experienced clinical and allied health personnel, SFCJL provides older adults with a variety of life-enriching healthcare programs and services in a welcoming, stimulating environment.

SFCJL’s transformed campus includes the new Lynne & Roy M. Frank Residences (assisted living apartments and memory care & support assisted living suites), and Byer Square, a non-residential community of programs, services, and support.

Position Overview

The Facilities Coordinator will perform a variety of administrative activities, oversee the day-to-day operations of the plant maintenance office and provide support to the Director of Plant Maintenance. Act on behalf of the department and the Director in interactions with staff, residents, families and outside agencies.

Essential Functions:

  • Oversee plant operations office files; maintain daily calendar and coordinate appointments for plant maintenance department.
  • Coordinate the Micro-Main work order process. Manually enter work orders, prioritize and assign orders to maintenance staff. Prepare reports on timeliness of work order completion.
  • Oversee attendance software program for all plant operations staff. Provide daily hour/OT reports for Director, Plant Operations. Pass and distribute paychecks for plant operations staff.
  • Manage budget and plant operation invoices. Submit all invoices for review and provide weekly reports to the Director, Plant Operations.
  • Order equipment and supplies for the plant maintenance department. Oversee purchases based on needs of residents. Manage office supplies and maintain appropriate inventories
  • Attend daily morning Milestone meetings and provide feedback and timelines to Unit Managers on outstanding Plant Maintenance issues
  • Attend Disaster Committee meetings, take minutes and manage agenda
  • Coordinate and manage plant operations staff schedule and attendance logs
  • Coordinate and assist directors with special projects such as office changes, room renovations, facility cell phone and pager projects, resident room issues and phone lines.
  • Participate in all mandatory in-services and disaster drills
  • Perform other duties as assigned

Qualifications:

  • High school diploma or equivalent, plus two years of college level general business courses; Associates degree in business preferred
  • Four years administrative assistant experience
  • Demonstrated proficiency with MS Office, including Outlook, Word, Excel
  • Demonstrated high level of interpersonal skills to handle sensitive and confidential situations
  • Demonstrated ability to build rapport quickly with peers and customers
  • Excellent communications skills, both written and verbal
  • Ability to read, write, communicate and comprehend verbal and written instructions in English
  • Ability to be accurate, concise, detail oriented and make independent decisions
