Position Summary

The position of Employee Experience Representative is established to provide administrative, recruitment and employee experience support to applicable processes within the Talent Acquisition (TA) team. Maintains quality service standards set by the organization.

Essential Duties and Responsibilities

  • Supports the Human Resources (HR) processes related to all phases of the employee life-cycle from onboarding through separation.
  • Runs and distributes routine and scheduled reports, including but not limited to staffing updates, NMLS listing, etc.
  • Creates and processes action form requests for staff changes.
  • Works in a confidential environment, handling private employee and applicant data, requiring discretion at all times.
  • Acts as primary administrator of badge access for employees who are newly hired and transferring internally.
  • Maintains the non-HR and administrator users in the ATS. Sends access information to new users.
  • Coordinates and act as primary point of contact for seasonal activities/events and luncheons.
  • Acts as primary administrator of recognition related processes, such as sympathy flower orders and milestone anniversaries.
  • Tracks NMLS Registrations. Conducts periodic reviews of each group to ensure all renewals and re-certifications are completed timely to maintain compliance in these areas.
  • Tracks and processes employee referral bonuses.
  • Processes and validates invoices related to recruitment and employee experience for payment. Performs routine audits related to employee experience, including but not limited to: reviewing active staff with expiring work authorization documents, and updates Form I-9 as needed.
  • Maintains company vehicle policy and log.
  • Processes and track remote access and mobility equipment request forms for new and current employees, including tracking and maintaining employee role classifications.
  • Initiates and tracks bilingual certification testing, as needed.
  • Performs administrative functions within the department, including but not limited to correspondence, filing, and copying.

Other Duties and Responsibilities

  • Performs other duties as assigned.
  • Acts as backup to Employee Experience Representative II, and may back up the recruitment and compensation function of the Talent Acquisition Team as needed.

The noise level in the work environment is usually moderate.

Minimum Qualifications (Education, Experience, Skills)

  • Must possess a high school diploma.
  • Minimum of one year administrative experience plus at least 6 months of customer service experience. Prior experience in a talent acquisition group/department preferred.
  • Desire to grow and develop a career in the Human Resources field is highly preferred.
  • Ability to work effectively in a fast paced environment and team.
  • Detail oriented, reliable and accurate deliverables.
  • Intermediate level MS Office competency.
  • Professional and effective written and verbal communication skills.
  • Demonstrated organizational skills. Ability to prioritize and complete multiple tasks efficiently and effectively.
