Administrative Assistant-Palliative Medicine

A diligent job-seeker is needed for the Administrative Assistant opportunity with our company! As an Administrative Assistant, you will be a vital link between patients, medical staff, and the administrative team, creating a positive and professional atmosphere for all interactions. Your primary responsibility will be to provide administrative support to our palliative team both internal and external, ensuring that the daily functions of the office are handled accurately and in a timely manner. This full-time opportunity offers $16- $23 per hour based on experience. Bilingual is a definite plus!

What You’ll Do:

  • Scheduling and confirming patient appointments and follow- up visits using the electronic health records (EHR) system and appointment confirmation software.
  • Answer incoming calls and route them to the appropriate staff or department promptly, taking messages in our EHR or email, as applicable
  • Assist patients with completing necessary forms, ensuring accurate and up-to-date patient information is recorded in the EHR system.
  • Handle patient inquiries and referrals, providing information regarding services, policies, and procedures in a courteous manner.
  • Verify insurance information, interfacing with Navinet software and contacting insurance companies as needed. Insurance Pre-authorizations conducted as needed.
  • Enter and track consults in the EHR system.
  • Collaborate with the billing and accounts receivable team to address patient billing inquiries and resolve any issues promptly.
  • Review and submit daily provider billing, verifying proper coding and place of service prior to submission to Accounts Receivable.
  • Update new patient information forms and mails/emails them to patients.
  • Utilize patient portal to export patient information and flag patients according to protocol.
  • Route faxes and process emails in EMR messaging module.
  • Create and run reports and trackers, as needed.
  • Other duties as assigned.

What You’ll Bring to Our Team:

  • Minimum of 1 year of experience as an administrative assistant in a healthcare setting preferable or physician practice
  • High school degree required, technical training or associate’s degree preferred
  • Excellent Customer Service skills required
  • Strong computer and typing skills
  • Microsoft Office suite experience required
  • Proficient organizational and analytical skills
  • Excellent written and verbal skills
  • Bilingual is a plus!
