Salt Lake City School District is Hiring a Hourly Office Assistant - 196 Near Salt Lake, UT

Hourly Non-Contract
FTE: .7375 (29.5/hrs. per week)

FLSA Status: Non-Exempt
This position is not benefits eligible
Starting wage: $15.00 per hour (86-H)

Purpose Statement

The Office Assistant provides clerical support to assigned personnel, maintaining department records, and responding to a variety of inquiries.

This position reports to the Principal or administrative designee.

Minimum Qualifications

  1. High school or equivalent
  2. Ability to pass a fingerprint and criminal background check
  3. Proficient in Microsoft Office Suite and experienced using data-based software
  4. Speak, read, write, and present professionally, analyze, and interpret English written and verbal communications
  5. Ability to operate standard office equipment; phone, copy and fax machines etc.

Preferred Qualifications

  1. Knowledge of Microsoft PowerPoint, Office 365, Publisher, etc.
  2. Knowledge of Business Plus and PowerSchool
  3. Experience in a K-12 education or public employment environment
  4. Ability to perform standard bookkeeping
  5. First Aid and CPR certifications
  6. Ability to compose a variety of documents
  7. Spanish or other language proficiency, including ability to read, write, speak, and understand

Essential Functions

  1. Adapt to changing work priorities and work with frequent interruptions, as required.
  2. Answer telephone and security doorbell in order to direct inquiries to the appropriate personnel and answer questions
  3. Assist in processing confidential and non-confidential documents and materials (e.g. student registrations, withdrawals, immunizations, attendance, etc.) to disseminate information to appropriate parties
  4. Assist in record keeping (confidential and non-confidential) and general and program-specific clerical functions (e.g. scheduling, student tracking, making telephone calls, copying, faxing, etc.) to fulfill supporting assigned supervisor and/or site with necessary materials
  5. Assist students in the office (e.g. sick or injured, lost and found items, sent to office due to behavior, errands, etc.) to provide a safe and welcoming environment
  6. Communicate effectively with diverse individuals and groups of people while maintaining confidentiality and building positive working relationships with employees and stakeholders.
  7. Ensure the safety of the school community by responding to security doorbells and check-in and check-out all visitors and temporary site personnel (e.g. substitutes, etc.)
  8. Maintain regular and predictable attendance to fulfill job requirements efficiently and effectively.

  1. Participate in meetings, workshops, seminars, as assigned for the purpose of conveying and/or or gathering information required to perform functions.
  2. Perform clerical functions (e.g. copying, faxing, filing, sorting mail, etc.) to help the school/program run more efficiently
  3. Prepare general written confidential and non-confidential materials (e.g. reports, memos, letters, newsletters, etc.) to document activities, provide written reference and/or convey information
  4. Receive and process payments (e.g. lunch money, tuition, collections, etc.) to provide written reference, prepare up-to-date reports, and historical reference with established administrative guidelines and legal requirements
  5. Respond to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) to provide information, facilitate communication among parties and/or provide direction
  6. Speak, read, write, analyze, understand, and follow written and verbal communication in English including grammar and punctuation; listen to, and understand information and ideas presented verbally or in writing.
  7. Support a team environment by collaborating with own and other work units to effectively perform the duties of the position.
  8. Support assigned staff to provide assistance with department functions (e.g. scheduling, student tracking, making telephone calls, copying, faxing, reports, newsletters, etc.)
  9. Work under limited supervision, utilizing time-management and prioritization strategies, accurately processing detailed information and meeting deadlines. 
  10. As needed, roll, push, pull, bend, reach, stoop, and lift up to 30 pounds.
  11. Other duties as assigned.

Working Environment

The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally, the job requires 60% sitting, 10% walking, and 30% standing. This job is performed in a generally clean and healthy environment.
