Job Title: Office Administrator

Job Description:

We are seeking a dynamic and organized Office Administrator to join our team. The ideal candidate will be responsible for providing comprehensive administrative support, including but not limited to filing documents, conducting research on potential properties for buying and selling, generating reports based on research findings, reconciling receipts and bank accounts, managing client services, and adapting to new programs and software.

Responsibilities:

  • Document Management:
  • Efficiently file and maintain documents, ensuring easy retrieval and organization.
  • Create and update filing systems to streamline document management processes.
  • Property Research:
  • Conduct thorough research on potential houses for buying and selling.
  • Gather relevant information such as property prices, market trends, and neighborhood statistics.
  • Report Generation:
  • Compile research findings into detailed reports for review by management.
  • Present data in a clear and concise manner, utilizing charts, graphs, and other visual aids where necessary.
  • Financial Reconciliation:
  • Reconcile receipts and bank accounts to ensure accuracy in financial records.
  • Identify discrepancies and resolve them promptly to maintain financial integrity.
  • Client Services:
  • Serve as a point of contact for clients, addressing inquiries and providing assistance as needed.
  • Maintain strong relationships with clients to ensure satisfaction and retention.
  • Program Learning:
  • Quickly adapt to new programs and software tools used in the office environment.
  • Participate in training sessions to enhance proficiency in various applications.

Requirements:

  • Proven experience as an administrative secretary or similar role, preferred but not required, in the real estate industry.
  • Excellent organizational skills and attention to detail.
  • Strong research abilities with the capacity to gather and analyze data effectively.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Ability to learn new programs and software quickly.
  • Outstanding communication and interpersonal skills.
  • Ability to prioritize tasks and manage time efficiently.
  • Discretion and confidentiality in handling sensitive information.
  • High school diploma required
